About the position

The Japanese/English Bilingual Project Coordinator will oversee and coordinate various aspects of event production for a Japanese entertainment company. This role involves managing project timelines, budgets, and logistics while ensuring effective communication between English and Japanese stakeholders. The coordinator will also handle administrative tasks, support fundraising efforts, and contribute to marketing and PR activities.

Responsibilities

  • Oversee, coordinate, conduct, and review all aspects of assigned event production tasks.
  • Schedule, coordinate, monitor, and review project timelines to ensure project goals are achieved.
  • Design, implement, monitor, and revise effective budget models for projects.
  • Manage and execute all aspects of project fundraising processes to meet budget objectives.
  • Manage and monitor event expenses, create expense reports, and process invoices.
  • Coordinate basic administrative operations for NPO activities, including Board of Directors meetings.
  • Coordinate the appearances of invited talent, artists, and guests in projects.
  • Monitor, maintain, and create content for event websites and social media accounts.
  • Conduct market research, gather information, and negotiate contracts with suppliers.
  • Proactively devise ideas and procedures to improve services and event quality.
  • Handle issues and troubleshoot problems on event day.
  • Conduct pre-event and post-event evaluations and report on outcomes.
  • Perform basic office administrative tasks, including answering phones and managing supplies.
  • Translate documents or interpret meetings between English and Japanese.
  • Assist in coordinating licensing or investment deals for theatrical productions.
  • Coordinate purchases and shipments of corporate gifts.
  • Support HR-related tasks.

Requirements

  • Bachelor's degree
  • 1-3 years of relevant work experience in an administration or coordinating position
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
  • Excellent numeracy skills with attention to detail
  • Bilingual with excellent writing, speaking, and presenting skills in both Japanese and English
  • Ability to thrive in a demanding environment with multitasking competencies
