About the position

We are seeking a tech-savvy Jr. Bookkeeper/Office Assistant with QuickBooks experience to support our full-time senior bookkeeper and administrative staff. This role is situated in our busy office, which serves as the international headquarters for our organization and a fully functioning clinic. The position offers the unique opportunity to experience the perks of a small office environment while engaging with the challenges of a large organization. The ideal candidate will be well-organized, motivated, and possess excellent people skills and attention to detail.

Responsibilities

  • General journal entries
  • Accounts Receivable (Client set up, invoicing, applying payments, statements, collections, currency conversions)
  • Accounts Payable (purchase orders, bill pay/issue payments)
  • Bank and Credit Card reconciliations
  • Monthly closing (prepare all A/R, A/P & payroll to be balanced and close on time)
  • Weekly financial statements
  • Create Excel spreadsheets
  • Year-end processes (assist in all accounting processes year-end closing for CPA)
  • Maintain customer and vendor files
  • Manage order inquiries via phone & email
  • Handle client and subcontractor complaints and inquiries
  • Check out clients in office
  • Remedy shipping issues (lost packages, stuck in customs, wrong items mailed)
  • Ability to handle a multi-line phone system
  • Excellent phone skills, the ability to answer the phone in a timely, courteous and professional manner
  • Excellent at scheduling a calendar for multiple executives
  • Very detailed and organized
  • Excellent verbal skills
  • Good multi-tasking skills, quick to manage multiple priorities with meticulous attention to detail while keeping the front office moving seamlessly throughout the day
  • Filing, updating multiple databases and other projects needed to support other team members

Requirements

  • Minimum 1+ years accounting/QuickBooks experience required
  • Microsoft Office Suite - intermediate to advanced
  • Fundamental knowledge of standard accounting practices
  • Strong customer service background
  • E-commerce and tech-savvy is highly preferred
  • Strong attention to detail
  • Exceptional organizational, written, and verbal communication skills
