About the position

The Junior Accounting Specialist at QualX Corporation is responsible for processing vendor invoices, managing accounts payable and receivable, and maintaining accurate financial records. This entry-level position involves supporting financial operations through data entry, reconciliation, and collaboration with senior financial staff to ensure compliance with regulations and company policies.

Responsibilities

  • Process vendor invoices and assist with accounts payable.
  • Manage accounts receivable, track incoming payments, and issue invoices to clients as needed.
  • Enter financial transactions into accounting software and maintain accurate records.
  • Build, update, and maintain complex spreadsheets to track financial data, budgets, and project costs.
  • Perform daily and monthly bank reconciliations, addressing discrepancies.
  • Assist in preparing preliminary financial statements and reports for review by the Controller.
  • Support internal and external audits by preparing schedules and gathering necessary data.
  • Help track and analyze departmental budgets, identifying variances.
  • Ensure company transactions comply with federal regulations and company policies.
  • Ensure data integrity through regular reviews, updates, and validation of financial information in spreadsheets.
  • Provide general administrative support, including maintaining financial files and implementing accounting processes.
  • Collaborate with the CFO and Controller on financial forecasts, budget planning, and long-term financial strategies as needed.
  • Support the Director of Contracts & Procurement with administrative tasks and management for contractor and subcontractor agreements and policies.

Requirements

  • Bachelor's degree in Accounting, Finance, Economics, or a related field.
  • Strong proficiency in Microsoft Excel, including the ability to use pivot tables, VLOOKUP, and other advanced functions.
  • Familiarity with all Microsoft Office Suite tools, especially Word and Outlook.
  • Attention to detail and accuracy when working with large data sets and financial information.
  • Ability to work in a structured, collaborative environment, with strong interpersonal skills for teamwork.
  • Eagerness to learn and adapt to new accounting systems, processes, and software.
  • Basic understanding of financial principles and accounting processes, such as accounts payable/receivable, reconciliations, and budgeting.
  • Strong analytical skills with a comfort working with numbers and performing data analysis.
  • Ability to prioritize tasks and manage time efficiently in a fast-paced environment.
  • Ability to learn the company accounting system (Deltek) and work effectively within the system.
