About the position

IntelliBridge LLC is seeking a Junior Communications Specialist to join our Program Management Support (PMS) team, primarily supporting the Transportation Security Administration's Enrollment Services and Vetting Program (ESVP). This position is crucial for managing communication activities and ensuring the smooth operation of the program. The Junior Communications Specialist will report directly to the Program Manager and will be responsible for overseeing the ESVP Communications mailbox, coordinating task assignments, drafting communications materials, and providing administrative support. This role is designed for individuals who are detail-oriented, organized, and capable of managing multiple tasks in a fast-paced environment. As a Junior Communications Specialist, you will play a vital role in maintaining effective communication within the team and with external stakeholders. Your responsibilities will include sorting and prioritizing incoming correspondences, maintaining data trackers to record communication activities, and providing regular updates on task statuses to the Program Manager. You will also assist in drafting, editing, and formatting various communications materials, ensuring that all outgoing communications adhere to established standards and guidelines. In addition to communication management, you will be expected to build and maintain relationships with internal team members and external stakeholders, facilitating effective collaboration. Your role will also involve providing administrative assistance, such as scheduling meetings and preparing materials, to support the overall operations of the program. This position offers a unique opportunity to contribute to national security efforts while developing your skills in communication and program management.

Responsibilities

  • Manage the ESVP Communications mailbox, including sorting, prioritizing, and responding to incoming correspondences.
  • Maintain and update data trackers to record communication activities, task assignments, deadlines, and outcomes.
  • Work closely with internal team members to divide and assign tasks within the ESVP mailbox, ensuring timely completion with minimal supervision.
  • Provide regular updates on task statuses, blockers, and priorities to Program Manager.
  • Assist in drafting, editing, and formatting communications materials, including emails, reports, and other documents as needed.
  • Ensure that all outgoing communications adhere to established standards and guidelines.
  • Build and maintain relationships with internal team members and external stakeholders to facilitate effective communication and collaboration.
  • Communicate regularly with stakeholders to provide updates on task progress and address any issues or concerns.
  • Maintain accurate records of communications activities, track task progress, and generate reports as required by program leadership.
  • Provide weekly updates to the team on tracker updates, blockers, and other relevant information to ensure transparency and accountability.
  • Provide administrative assistance including scheduling meetings, preparing materials, and managing documentation.
  • Assist with other ad-hoc tasks and projects as needed to support program operations.

Requirements

  • 1-3 years of experience with a Bachelor of Arts / Bachelor of Science degree.
  • Demonstrated experience in managing email inboxes, data trackers, and task coordination in a professional setting.
  • Proven track record of drafting clear and concise communications materials for internal and external stakeholders.
  • Experience with customer relationship management, stakeholder engagement, and collaboration in a team environment.
  • Strong analytical skills, with the ability to conduct qualitative analysis, develop metrics, and generate reports.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
  • Excellent written and verbal communication skills, with attention to detail and accuracy.
  • U.S. citizenship and ability to obtain and maintain a security clearance.
