About the position

The Junior HR Generalist will play a vital role in supporting various HR functions at the Developmental Disabilities Institute Inc. This position encompasses responsibilities in areas such as HCMS/Compensation, Benefits, Credentialing, Training, and Recruitment. The Junior HR Generalist will ensure compliance with federal and state regulations related to employment, including but not limited to I-9 employment eligibility, the Wage Theft Protection Act, EEO, and OSHA. This role will also involve assisting employees with inquiries regarding DDI's health benefit plans and working closely with health benefit insurance carriers to manage employee enrollments and terminations effectively. In collaboration with the Manager of Compensation & Benefits, the Junior HR Generalist will conduct focus groups and educational presentations aimed at enhancing employee engagement and understanding of DDI's employee benefits. The position will also assist with the annual benefit open enrollment process and administer various employee leaves, including FMLA, PFL, Military Leave, and Unpaid LOA. Additionally, the Junior HR Generalist will manage DDI's Workers' Compensation program, ensuring timely and accurate documentation is submitted to the insurance carrier and the Payroll Department. The role requires generating reports to support program needs and management objectives, conducting exit interviews, and overseeing employee engagement initiatives. The Junior HR Generalist will also assist with recruitment efforts, including attending job fairs and distributing promotional materials. This position demands a detail-oriented individual who can multitask effectively while maintaining confidentiality and providing quality customer service to employees and HR vendors.

Responsibilities

  • Provide support to all HR functions including HCMS/Compensation, Benefits, Credentialing, Training, and Recruitment.
  • Maintain compliance with federal and state regulations concerning employment, including I-9 employment eligibility, Wage Theft Protection Act, EEO, OSHA, etc.
  • Assist employees with general inquiries about DDI's health benefit and retirement plans.
  • Work closely with DDI's health benefit insurance carriers to ensure correct enrollment and termination of employees from health benefit plans.
  • Conduct focus groups and educational presentations to enhance employee engagement and education regarding DDI's employee benefits.
  • Assist with the annual benefit open enrollment process for the Agency's benefit programs.
  • Administer all employee leaves (FMLA, PFL, Military Leave, and Unpaid LOA).
  • Administer DDI's Workers' Compensation program and submit required documentation accurately and timely.
  • Provide information regarding monthly employee injuries and trends to the Workforce Health & Safety Officer.
  • Work closely with DDI's COBRA vendor to ensure all regulatory requirements are met.
  • Enter employee transactions into the HCMS relating to education verification, substance abuse results, suspensions, and leaves of absence.
  • Review agency job changes for accuracy in the HCMS before final approval by the Manager of Compensation & Benefits.
  • Generate monthly, standard, custom, and adhoc reports in support of program needs and management objectives.
  • Present Tech Time and Benefits Modules for new hire orientation and provide backup support for other modules when needed.
  • Train all HCMS users on applicable aspects of the system in partnership with the Manager of Compensation & Benefits.
  • Conduct exit interviews and compile data for analysis by the Manager of Compensation & Benefits.
  • Support and oversee employee engagement initiatives such as Holiday Party, DSP Week, and Service Awards.
  • Assist with the processing of credentialing and regulatory requirements in conjunction with the Credentialing Administrator.
  • Ensure HR initiatives are communicated effectively through the Communications Department.
  • Assist with recruitment initiatives, including attending recruitment events and distributing flyers.
  • Review employee incentive programs for accuracy before final approval by the Director of Human Resources.
  • Administer the Employer Assisted Housing Program.
  • Provide quality customer service to employees and HR vendors.
  • Ensure confidentiality of all employee/agency information.

Requirements

  • Associates Degree or 2 years' experience in Human Resources.
  • Ability to multitask and prioritize assignments based on urgency.
  • Detail-oriented with strong analytical skills.
  • Professional demeanor with effective verbal and written communication skills.
  • Ability to present in front of groups.
  • Computer proficiency and technical aptitude with MS Word, Excel, and PowerPoint.
  • Knowledgeable of HR functions.
