About the position

The Junior HR Generalist will play a vital role in supporting various HR functions within the organization. This position encompasses a wide range of responsibilities, including HCMS/Compensation, Benefits, Credentialing, Training, and Recruitment. The Junior HR Generalist will ensure compliance with federal and state regulations concerning employment, which includes managing I-9 employment eligibility, adhering to the Wage Theft Protection Act, and ensuring compliance with EEO and OSHA standards. This role will also involve assisting employees with inquiries related to DDI's health benefit plans and working closely with health benefit insurance carriers to manage employee enrollments and terminations effectively. In collaboration with the Manager of Compensation & Benefits, the Junior HR Generalist will conduct focus groups and educational presentations aimed at enhancing employee engagement and understanding of DDI's employee benefits. The role will also involve administering employee leaves, including FMLA, PFL, Military Leave, and Unpaid Leave of Absence, as well as managing DDI's Workers' Compensation program. Timely and accurate submission of documentation related to Workers' Compensation to the Payroll Department and Program Management is essential. The Junior HR Generalist will generate various reports to support program needs and management objectives, present training modules during new hire orientation, and assist in training HCMS users. Conducting exit interviews and compiling data for analysis will also be part of the responsibilities. Additionally, the role will support employee engagement initiatives and assist with recruitment efforts, including attending job fairs and distributing promotional materials. The Junior HR Generalist will ensure confidentiality of all employee and agency information while providing quality customer service to employees and HR vendors.

Responsibilities

  • Provide support to all HR functions which includes HCMS/Compensation, Benefits, Credentialing, Training and Recruitment.
  • Maintain compliance with federal and state regulations concerning employment including but not limited to, I-9 employment eligibility, Wage Theft Protection Act, EEO, OSHA, etc.
  • Assist employees with general inquiries about DDI's health benefit and retirement plans.
  • Work closely with DDI's health benefit insurance carriers & the point of contact for DDI's benefit system of record to ensure employees are enrolled or terminated correctly from the health benefit plans.
  • Conduct focus groups and periodic educational presentations to enhance employee engagement and help with ongoing employee education of DDI's employee benefits.
  • Assist with the annual benefit open enrollment process for the Agency's benefit programs.
  • Administer all employee leaves (FMLA, PFL, Military Leave and Unpaid LOA).
  • Administer DDI's Workers' Compensation program and submit all required documentation to DDI's Workers' Compensation insurance carrier accurately and timely.
  • Provide the Workforce Health & Safety Officer information regarding monthly employee injuries and trends to be presented at the Health & Safety Committee.
  • Work closely with DDI's COBRA vendor to ensure all regulatory requirements are being met.
  • Enter employee transactions relating to education verification, substance abuse results, suspensions and corresponding leaves of absence into the HCMS.
  • Review all agency job changes for accuracy in the HCMS before final approval by the Manager of Compensation & Benefits.
  • Generate monthly, standard, custom and adhoc reports in support of program needs & management objectives.
  • Present Tech Time and Benefits Modules for new hire orientation and provide backup support for other modules when needed.
  • Train all HCMS users on all applicable aspects of the system and ensure all users are leveraging it properly.
  • Conduct exit interviews and compile data to be analyzed by the Manager of Compensation & Benefits.
  • Support and in some cases oversee employee engagement initiatives (Holiday Party, DSP Week, teacher Appreciation Week, Spirit Week, Service Awards, etc.).
  • Assist with the processing of credentialing and all regulatory requirements in conjunction with the Credentialing Administrator.
  • Work closely with the Communications Department to ensure information regarding HR initiatives are posted to the portal and assist with providing materials for the agency website.
  • Assist with recruitment initiatives, which includes but is not limited to attend recruitment events/job fairs and distributing flyers.
  • Review information regarding employee incentive programs for accuracy before final approval by the Director of Human Resources.
  • Administer the Employer Assisted Housing Program.
  • Provide quality customer service to employees and HR vendors.
  • Ensure confidentiality of all employee/agency information.
  • Other duties as assigned.

Requirements

  • Associates Degree or 2 years' experience in Human Resources
