About The Position

The Project Coordinator II serves as the Team Lead for Contractor personnel who work under this BPA but may not be for the entire BPA. The Project Coordinator is a Headquarters position but may be required occasionally to travel to PHMSA regional offices.

Requirements

  • A minimum of 2 years of experience performing administrative and clerical duties
  • Bachelor’s Degree or Equivalent Experience; in lieu of a Bachelor’s Degree, participants may substitute: (1) an Associate’s Degree and two additional years of related experience, (2) a High School Diploma and four additional years of related experience
  • At least three years of experience working with the Federal Government
  • Experience providing daily management and supervision of the support staff assigned to the project
  • General knowledge of Government policies and procedures

Responsibilities

  • Reviewing work product and ensuring contractor staff have the knowledge and ability necessary to accomplish their duties independently
  • Assisting contractor staff in accomplishing their duties in work overload situations
  • Providing conference, seminar, and meeting support
  • Performing diversified clerical, administrative, and general office duties of a highly responsible and confidential nature to senior management
  • Communicating and/or coordinating instructions with various individuals and/or departments
  • Furnishing and obtaining information from multiple sources
  • Organizing and maintaining files of correspondence and records
  • Following up on pending matters
  • Acting as a receptionist, screening telephone calls, letters, and/or visitors, answering routine questions and furnishing information
  • Scheduling appointments, maintaining and disseminating schedules and work plans, and coordinating arrangements for meetings and conferences
  • Transcribing dictation, often of a technical and/or confidential nature
  • Composing and typing routine letters and memorandums
  • Routing or answering routine correspondence not requiring manager’s attention
  • Preparing special reports, gathering and summarizing data
  • Organizing and expediting flow of work through manager’s office
  • Initiating follow-up action
  • Providing supervision, training and guidance to lower level administrative assistants
  • Operating terminal and printer for data storage and retrieval
