About the position

Partnerships for Trauma Recovery (PTR) is a 501(c)(3) nonprofit organization dedicated to healing the psychosocial impacts of trauma among international survivors of human rights abuses, forced displacement resulting from war, torture, persecution related to identity and beliefs, gender-based violence, and other forms of interpersonal violence. PTR provides culturally and contextually responsive, trauma-informed, and linguistically accessible psychological and psychosocial care for asylum seekers and refugees from around the world. The Junior Salesforce Administrator position is an exciting opportunity to advance the impact of this innovative nonprofit organization working at the nexus of human rights and global mental health through data management and Salesforce administration and development. The Junior Salesforce Administrator will support the Data & Reporting Manager in Salesforce administration and development, and manage and oversee data for the African Communities Program (ACP). A portion of the job responsibilities can be completed remotely, though the position is required to be onsite a minimum of two days per week (the onsite requirement may increase in the future depending on organizational needs). This position reports directly to the Data & Reporting Manager and works closely with the African Communities Program Manager.

Responsibilities

  • Support the Data & Reporting Manager in day-to-day Salesforce Administration functions, such as user account management and error troubleshooting, creating new fields, adjusting page layouts and dynamic forms, setting up validation rules, building reports, and managing declarative automations via flow.
  • Collaborate with Data & Reporting Manager, Salesforce Consultants, and ACP team members to advance development of ACP group level data monitoring in Salesforce, working to develop a system that emphasizes end user experience and ACP data reporting requirements.
  • Develop and maintain forms in FormAssembly for data collection and E-signature with attention to proper connection of forms with PTR's Salesforce environment through prefill, submission, and post-submission connectors as well as dynamic picklists.
  • Expand knowledge of Salesforce and FormAssembly best practices through regular use of online learning platforms and 1-1 mentorship with Data and Reporting Manager and Technical Consultants.
  • Support end users through regular technical support, systems communications, and training, including weekly Salesforce Office hours and written weekly updates to staff.
  • Facilitate new staff onboarding through live and recorded video sessions and through the development and dissemination of written training materials and pre-recorded videos, providing additional end user support as needed.
  • Perform regular data cleanup tasks and identify areas for process improvement or additional end user training toward maintaining the highest possible standards of client data quality.
  • Maintain open communication with Program Managers and Direct Service staff in order to maintain up to date knowledge of grant reporting requirements and understand staff data collection and entry challenges in order to continuously improve PTR's technical documentation.
  • Develop and manage all ACP data collection tools to track and report clinical and outreach data, maintain ACP and Alameda County databases, and provide ongoing support and training to ACP staff on utilizing the data collection tools and databases; generate comprehensive data reports and ensure all data reports are submitted by funder-imposed deadlines.
  • Attend weekly ACP meetings and participate in ACP workshops and events as deemed necessary to understand context, and to collect data through avenues such as satisfaction surveys.
  • Provide support to ACP outreach and clinical staff in the collection of satisfaction surveys and pre- and post-health assessments; conduct ongoing analysis of surveys and assessments to monitor client improvement and program effectiveness for the purpose of informing program design and development and reporting to funders and other key stakeholders.
  • Lead organizational compliance with all Mental Health Medi-Cal Administrative Activities (MH MAA), ensure MH MAA billing is completed accurately and submitted to Alameda County in a timely manner, and complete monthly MH MAA billing activities and train and support ACP staff with monthly MH MAA compliance.
  • Serve as a liaison between PTR and Alameda County for administrative and data-related matters or technical support, maintain oversight of PTR compliance with Alameda County administrative documentation, and attend Alameda County Provider meetings and trainings and report pertinent information to the ACP staff.

Requirements

  • Between 1-3 years of experience in data systems management or non-profit administration or an educational background/certification in data science or Salesforce with an interest in non-profits.
  • Strong data management skills, particularly in Excel, with ability to track reporting requirements and consolidate data from a variety of sources.
  • Experience working in Salesforce backend, with understanding of security settings, declarative automations, object management, and reports.
  • A demonstrated commitment to and/or prior experience working in an organization that serves immigrant communities or works in mental health.
  • Excellent interpersonal skills, including strong written and verbal communication abilities.
  • Proficiency with MS Office Suite and Google Drive, most notably Excel and Google Sheets.
  • A positive attitude, patience, and flexibility; intellectual curiosity; willingness and desire to learn and grow.
  • Cultural humility, sensitivity to cultural nuance, and respectfulness of identity differences.

Nice-to-haves

  • Certified Salesforce Administrator
  • A demonstrated commitment to working with African immigrants.
  • Familiarity with SmartCare, Clinicians Gateway, and/or Medi-Cal and/or Medi-Cal Administrative Activities (MAA) billing.
  • Experience participating in data migration projects and working with Dataloader to mass update records in Salesforce
  • Experience building forms with FormAssembly and working with Salesforce connectors.
