About the position

The Lab and Makerspace Operations Coordinator at Chapman University plays a crucial role in supporting the Dale E. and Sarah Ann Fowler School of Engineering (FSE), which is dedicated to fostering an inclusive and innovative environment for students and faculty. This position is integral to the daily operations of the Design / Create / Innovate Lab (DCI) and instructional labs, ensuring that these spaces are well-maintained, organized, and equipped to meet the needs of users. The Coordinator will work closely with the Makerspace Manager to provide administrative and logistical support, including managing inventory, ordering supplies, and assisting users with equipment and project design. The role emphasizes collaboration, customer service, and the promotion of a welcoming atmosphere for individuals of all skill levels in making and design. In addition to operational support, the Coordinator will be responsible for planning and implementing programs and services that engage the campus community and encourage new users to explore the makerspace resources. This includes developing partnerships with students, faculty, and underrepresented communities, as well as organizing workshops and events that foster creativity and innovation. The position requires a strong commitment to safety, inclusivity, and collaboration, as well as the ability to manage multiple tasks and priorities effectively. The Lab and Makerspace Operations Coordinator will also serve as a point of contact for various administrative tasks, including managing the Point-of-Sale system, tracking inventory, and ensuring compliance with safety standards. The role is designed for a highly motivated individual who is detail-oriented and possesses excellent interpersonal skills, making it essential for the success of the makerspace and instructional labs at Chapman University.

Responsibilities

  • Provide day-to-day operational and administrative support of FSE's makerspaces, instructional labs, and stockroom.
  • Create an open and welcoming space for students, faculty, and staff at all levels of making, design, and innovation experience.
  • Assist students, faculty, and staff on the design of projects and operation of commonly used equipment.
  • Assist in the management, training, and mentorship of student employees.
  • Ensure safe and efficient daily operation of the facilities, following all safety policies and procedures.
  • Participate in the development and implementation of training materials, safety standards, policies, and procedures for the makerspace and facilities.
  • Serve as a cashier and provide oversight of the Point-of-Sale system to process transactions of materials and parts sold in the makerspaces and stockroom.
  • Work collaboratively with technical and administrative staff to manage equipment and supply inventory and reservations.
  • Create and track purchase requests and orders, monitor and obtain approvals for contract agreements, and confirm delivery and receipt of purchased items.
  • Regularly meet with leadership, faculty, and staff to review equipment, tools, and materials for instructional and space needs.
  • Oversee instructional kit packing for relevant classes prior to the start of each semester.
  • Coordinate and maintain asset, tool, and equipment inventory, affixing and recording ID tags and serial numbers as required.
  • Support students and faculty in acquiring parts and supplies for course-related projects and academic research.
  • Attend meetings, including facilities coordination and risk management meetings, as required.

Requirements

  • Associates degree or equivalent in education and/or experience.
  • Experience providing collaborative, customer-service focused administrative support.
  • Experience working with varying skill levels and diverse backgrounds, fostering an inclusive and collaborative learning environment.
  • Experience in ordering, receiving, and distribution of assets/supplies or general supply chain coordination.
  • Exceptional ability to track and maintain detailed and organized records regarding distribution, use, maintenance, and storage of equipment, tools, and materials.
  • Technical skills to learn and use enterprise systems and applications needed for the position.
  • Working knowledge of digital fabrications and/or crafting, with the ability to research and learn new tools and equipment.
  • Strong oral and written English language skills with the ability to interact with diverse individuals and groups at all organizational levels.
  • Ability to learn, demonstrate, and enforce proper health and safety procedures and regulations.
  • Outstanding organization and time management skills, with the ability to prioritize duties and meet deadlines.

Nice-to-haves

  • Working knowledge of laser cutters, CNC machines, 3D printers, sewing/embroidery machines and/or design software.
  • Experience in event planning and coordination.
  • Familiarity supporting operations involving electronics parts, prototyping equipment, breadboarding, and/or software packages.
