About the position

The Lab Operations Coordinator is responsible for managing various administrative and customer service tasks to ensure the efficient operation of the lab. This role involves customer correspondence, processing work orders, maintaining inventory, coordinating lab workflows, and overseeing post-calibration procedures. The coordinator works closely with lab personnel, customers, and other departments to ensure smooth operations and high customer satisfaction.

Responsibilities

  • Provide customer correspondence via phone or email regarding lab services and inquiries.
  • Answer lab-related phone calls and provide general information to customers.
  • Notify customers of upcoming services and due dates for calibrations.
  • Assist with laboratory standards recall processes.
  • Pull calibration standards from inventory as needed for service.
  • Maintain certification folders for calibration standards.
  • Manage lab inventory, including ordering supplies (batteries, cleaning products, packing materials, etc.).
  • Update and maintain the lab calendar to ensure proper scheduling.
  • Greet and assist walk-in customers with inquiries and service requests.
  • Enter all lab orders into the Access system and ensure accuracy.
  • Review received work orders and verify customer information and special requirements in Access, QuickBooks, and CRM systems.
  • Ensure pricing aligns with quotes and verify purchase orders from customers.
  • Confirm return methods (pick-up, drop-off, or shipping) for completed tools.
  • Verify account standing and receivables before calibration begins.
  • Communicate estimated costs and timeframes for calibration services.
  • Track expedited orders and ensure they are prioritized accordingly.
  • Coordinate with customers on third-party services, securing approvals as necessary.
  • Provide real-time status updates on ongoing lab services to customers.
  • Communicate with the lab manager regarding turnaround times and any potential delays.
  • Notify customers of orders placed in delay status and follow up with updates.
  • Address customer inquiries related to order progress and resolve issues promptly.
  • Verify certificates and labels for accuracy before packaging.
  • Prepare completed orders for customer pick-up or shipping, including all necessary documentation.
  • Ensure the accuracy of billing information and customer orders before invoicing.
  • Organize and stage completed orders in the lab for timely dispatch.
  • File paper certificates and closed invoices in an organized and timely manner.

Requirements

  • Mid-level experience in a relevant field.
  • Proficiency in Microsoft Office.
  • Experience with QuickBooks.
