About the position

The University of Pittsburgh is seeking a dedicated Personnel and Payroll Specialist to join its Employee/Labor Relations team. This role is pivotal in serving as the primary contact for faculty union members regarding all payroll actions and leaves, providing essential support and guidance. The Personnel and Payroll Specialist will be responsible for reviewing and correcting payroll actions, forms, and payroll registers, ensuring that all processes comply with university policies and relevant regulations. This position requires collaboration with various departments to address payroll-related queries, process union dues, and maintain accurate records. In addition to payroll management, the Personnel and Payroll Specialist will assist the Director of Academic Affairs with various tasks and assignments. The ideal candidate will perform data entry, maintain filing systems, and ensure the accuracy of all payroll-related documentation. This role also involves onboarding new and rehired faculty, staff, and students, approving recruitment actions, and liaising with union representatives to ensure the correct implementation of union agreements related to payroll. The position demands a high level of attention to detail and the ability to take corrective action when necessary, ensuring compliance with policies, procedures, and regulations. Responsibilities

  • Serve as a primary contact for faculty, staff, union, and students regarding all payroll actions and issues; provide support and guidance.
  • Review record changes, payroll actions, employment forms, and payroll registers; ensure accuracy and compliance with policies, procedures, and regulations; take corrective action when necessary.
  • Approve recruitment actions, selection requests, and reclassifications; onboard new and rehired faculty/staff/students.
  • Accurately process and manage union dues deductions from employee paychecks.
  • Liaise with union representatives to ensure correct implementation of union agreements related to payroll.
  • Prepare and remit union dues reports to the appropriate union offices in a timely manner.
  • Translate payroll and personnel actions into database; create spreadsheets; retain personnel files and maintain filing systems.
  • Assist with special projects and initiatives as needed.
  • Assist the Director of Academic Affairs.

Requirements

  • Bachelor's degree required.
  • Minimum of 1 year of relevant experience in payroll or personnel management.
  • Combination of education and relevant experience will be considered in lieu of education and/or experience requirement.

  • Experience with union payroll processes and regulations.
  • Familiarity with database management and spreadsheet creation.
