About the position

Meritage Homes is seeking an Escrow Coordinator to support new home closings for the Tampa Division. This role is pivotal in liaising between Meritage's sales team and both internal and external lenders to ensure smooth and efficient closing processes. The Escrow Coordinator will be responsible for managing various aspects of the closing and escrow process, ensuring that all necessary documentation is completed accurately and in a timely manner. This includes scheduling closings, sending out projected completion dates and closing letters to buyers, and finalizing all closing statements, which encompass final sales pricing and other terms. The Coordinator will also advise senior management of any potential escrow or closing issues, presenting viable solutions to mitigate risks. In addition to closing management, the Escrow Coordinator will play a significant role in sales responsibilities. This includes generating weekly, monthly, and quarterly sales reports that detail traffic, closings, gross sales, cancellations, and other ad hoc reports. The Coordinator will be responsible for the initial review and processing of all Purchase Agreements and Exhibits, ensuring that any errors are corrected before distribution to relevant parties. They will also monitor compliance with audit requirements and maintain all corporate-approved sales documents. The position requires frequent interaction with various departments, subcontractors, customer service representatives, and field construction personnel, necessitating a high level of interpersonal skills and the ability to manage frequent interruptions while maintaining productivity. The ideal candidate will possess a strong understanding of the escrow process and documentation, including purchase documents, options selections, loan requirements, and closing procedures. They will be expected to demonstrate sound judgment, analytical abilities, and a keen attention to detail, all while working in a fast-paced environment that often requires prioritizing multiple projects and meeting tight deadlines. Responsibilities

  • Participate in meeting the budgeted closing objectives.
  • Schedule closings and send out projected completion date/closing letters for each buyer.
  • Complete and finalize all closing statements and send them to lenders and title companies.
  • Advise Senior Management of potential escrow/closing problems and present solutions.
  • Build and maintain relationships with Sales staff, Lenders, and Title company representatives.
  • Manage loan progress reports from lenders and follow up with Sales Associate on Buyers not in compliance with contract terms.
  • Provide various sales and escrow documents to Buyers, Sales, Lenders, Title Company, Design Center, Mortgage, and Construction personnel.
  • Update, prepare, copy, and distribute the Closing Report.
  • Receive and review all HUDS before each closing.
  • Maintain all open and closed escrow files and ensure proper filing.
  • Work with MTH Mortgage division and corporate personnel to implement all mortgage programs.
  • Order appraisals and PWC as needed.
  • Generate weekly, monthly, and quarterly sales reports including traffic, closings, gross sales/cancellations, and other ad hoc reports.
  • Review and process/distribute all Purchase Agreements and Exhibits, ensuring accuracy and correcting errors.
  • Process customer deposits and notify Sales Director of any homebuyer issues.
  • Respond to calls from Buyers, Sales, Lender, Title Company, Design Center, Mortgage, and Construction personnel, resolving or referring as necessary.
  • Monitor compliance with all audit requirements and implement/maintain corporate-approved sales documents.

Requirements

  • High School Diploma; 2 or more years of college preferred.
  • Minimum of two (2) years of experience in an office support position.
  • At least one (1) year of experience in homebuilding, real estate, lender, or escrow fields.
  • Proficient in Microsoft Office applications including Word, Excel, and Outlook.
  • Experience with Peoplesoft and Constellation/Salesforce or similar database systems preferred.
  • Strong written and verbal communication skills, including proofreading and telephone skills.
  • Excellent interpersonal and customer service skills.
  • Ability to react and respond favorably, communicating professionally with confidence and tact.
  • Demonstrated ability to work within cross-functional teams.
  • Sound judgment with the ability to make good decisions under time pressures.
  • Keen attention to detail and accuracy.
  • Self-directed with the ability to take initiative and proactively address problems.
