About the position

Brother and Henderson is seeking a Receptionist / File Clerk who will serve as the first point of contact for clients and visitors, playing a crucial role in client relations. This full-time position involves a variety of administrative tasks, including managing phone calls, handling inquiries, maintaining office supplies, and ensuring the front office is presentable. The role also includes responsibilities for records management, filing, and office maintenance, contributing to the overall efficiency of the firm.

Responsibilities

  • Greet clients and visitors warmly, creating a positive first impression of the firm.
  • Answer, screen, and forward phone calls professionally, monitoring voicemails and returning calls promptly.
  • Assist with data entry, copying, scanning, faxing, and emailing as needed.
  • Direct the flow of incoming mail and deliveries to intended recipients, preparing outgoing mail including certified and priority mail.
  • Securely maintain all paper and electronic documents, filing pleadings, letters, and correspondence in appropriate client files.
  • Retrieve and deposit client files from offsite storage as directed, maintaining electronic storage logs.
  • Order and replenish office supplies, kitchen supplies, beverages, and snacks, ensuring the kitchen and supply room are stocked and organized.
  • Manage the maintenance and repair of multifunction devices, maintaining adequate stock of supplies like toners and paper.
  • Assist with firm security and notify appropriate parties of potential security issues immediately.
  • Witness document signings for clients as needed.

Requirements

  • Excellent verbal, interpersonal, and customer service skills.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Flexibility and adaptability to work productively in a periodically stressful environment.
  • Ability to multi-task and process a high volume of work.
  • Ability to work independently and problem solve creatively.
  • Strong attention to detail and organizational skills.
  • Strong spelling and grammar skills.
  • Familiarity with legal terms and a basic understanding of various office forms and legal documents.
  • Proficient with Windows and MS Office products, multi-line telephone, and other office equipment.

Nice-to-haves

  • Previous administrative experience in a law firm or legal department.
  • BA degree highly desirable.
