This position requires a proactive individual who can manage the office calendar for our attorneys, ensuring that their schedules are utilized effectively without overbooking or conflicting appointments. You will be the first point of contact for clients and visitors, so a positive and professional demeanor is essential. In this role, you will be responsible for answering and directing incoming calls, gathering and organizing data into our legal software, and checking emails and voicemails to ensure timely responses. You will also be tasked with pulling end-of-day reports for the Communications Department and maintaining the overall organization of the office, including the lobby and supply room. Handling sensitive client data with discretion and accuracy is paramount, as is the ability to perform tasks promptly and meet deadlines. Responsibilities

  • Maintain the office calendar of attorneys and ensure their schedule is utilized efficiently, avoiding overbooking.
  • Answer and direct incoming calls for the office.
  • Gather, organize, and enter data into legal software.
  • Check email and voicemail to assure timely responses to all inquiries.
  • Pull end-of-day reports for the Communications Department.
  • Keep the office organized and maintained, including the lobby area and supply room.
  • Approach all clients and employees with a positive tone and genuine warmth.
  • Handle sensitive client data with utmost discretion, care, and accuracy.
  • Perform tasks as assigned with accuracy and promptness, meeting all agreed-upon deadlines.

Requirements

  • High school graduate.
  • Experience in a law office or in a medical office.
  • Experience in an administrative or office manager role.
  • Excellent verbal/written communication and interpersonal skills.
  • Professional demeanor and positive communicator.
  • Excellent typing skills and computer literacy, including a solid understanding of Microsoft Word, Outlook, and Excel applications.
  • Demonstrate proficiency to focus on details, handle multiple tasks, and remain highly organized.
  • Go above and beyond on simple requests to make things easier on others.
