About the position

Our small family law firm is seeking a dedicated Law Office Administrator (Office Manager) to join our team in Anchorage. This position is crucial for the smooth operation of our office, which is located off Abbott Road, near the Seward Highway. The ideal candidate will have some experience in an office environment, and while law office experience is a significant advantage, we are open to training the right person. We have recently transitioned to cloud-based Document Management, Practice Management, and Billing software, which means that the new hire will be learning alongside the rest of the team. This role offers the opportunity to master these complex systems and eventually assist in training future new hires. The work environment can be flexible for the right candidate, allowing for a balance between professional responsibilities and personal needs. We are looking for someone who is not only organized and efficient but also possesses strong communication skills to interact effectively with both staff and clients. The administrator will be responsible for managing confidential information and ensuring that all office operations run smoothly. This position may also involve supervising an assistant in the near future, depending on the growth of the office. In addition to administrative duties, there are opportunities for involvement in marketing and social media, should the candidate be interested. This could include being the point person for web and social media marketing, allowing for creativity and personal interests to be expressed in the role. Responsibilities

  • Manage daily office operations and ensure a smooth workflow.
  • Oversee the transition to and management of cloud-based Document Management, Practice Management, and Billing software.
  • Assist in training new hires on office systems and procedures.
  • Track accounts and ensure timely client payments, including accounts receivable collection when necessary.
  • Supervise an assistant in the near future as the office grows.
  • Communicate effectively and professionally with staff and clients regarding office matters.
  • Maintain responsible management of confidential information.
  • Provide local computer tech support in collaboration with our remote IT provider and cloud platform support teams.
  • Possibly manage marketing and social media efforts for the firm.

Requirements

  • Some experience in an office environment is required.
  • Basic bookkeeping experience is preferred, though optional.
  • Proficiency in MS Office/Office 365, especially Word and Excel.
  • Experience in calendar and task management.
  • Ability to track accounts and ensure timely client payments.
  • Experience working with a paperless office system.
  • Strong communication skills to interact with staff and clients professionally.
  • Responsible management of confidential information.

Nice-to-haves

  • Familiarity with marketing and social media, with the potential to lead these efforts.
  • Ability to provide local computer tech support.
