About the position

The Lead Administrative Assistant will provide comprehensive administrative support to the Corporate Affairs General Manager and Human Resources General Manager at Chevron's Americas Exploration & Production (AEP) division. This role involves managing schedules, coordinating travel, and organizing events while maintaining confidentiality and exercising discretion. The position requires a high level of independence and attention to detail, ensuring effective communication and collaboration with various teams.

Responsibilities

  • Support scheduling of meetings and event logistics for executives and teams.
  • Manage multiple team calendars and handle sensitive data with confidentiality.
  • Coordinate individual and group travel itineraries and logistics, including domestic and international travel.
  • Plan and implement special events for Corporate Affairs, including executive and stakeholder activities.
  • Manage event, catering, and service contracts to ensure quality delivery.
  • Engage with Corporate Affairs teams to share best practices and explore collaboration opportunities.
  • Track and manage budgets, contracts, sponsorships, and events to deliver value to the business.
  • Prepare detailed itineraries and coordinate agendas for business trips.
  • Compile expense reports and maintain documentation for travel-related expenses.
  • Make informed decisions regarding priorities and urgency of tasks and events.

Requirements

  • High School Diploma or equivalent.
  • Minimum of 3 years administrative experience.
  • Advanced proficiency with Microsoft Office applications, including MS Teams, OneNote, Excel, PowerPoint, SharePoint, and Workday.

Nice-to-haves

  • Minimum of 3 years executive assistant experience supporting executive-level management.
  • Strong knowledge of corporate affairs.
