About the position

The Lead Administrative Support Assistant for Marketing at Columbia Sportswear Company plays a crucial role in providing confidential administrative support to the Senior Vice President of Marketing. This position is integral to the smooth operation of the marketing team, ensuring effective communication and coordination of various administrative tasks. The role involves managing office matters, scheduling, and supporting special projects, all aimed at enhancing the Columbia brand's outreach and consumer engagement.

Responsibilities

  • Provides analytical and specialized administrative support to the SVP.
  • Performs critical and confidential administrative duties and coordinates the production of correspondence and work projects for the VP and team.
  • Screens incoming communications and messaging to assist and coordinate meetings, calls, and in-person appointments.
  • Evaluates the relative importance of each communication and handles appropriately.
  • Composes letters and reports from verbal instructions.
  • Attends meetings as needed to scribe notes for distribution and record keeping.
  • Schedules appointments and coordinates calendars, keeping Outlook and contact lists updated.
  • Provides administrative and project management support for the brand marketing team.
  • Coordinates onsite and offsite meetings including attendees, facility, equipment needs, catering, etc.
  • Coordinates travel arrangements, hotel and car accommodations, and planning of itineraries.
  • Enters expense reports in a timely manner for the leadership team.
  • Develops office procedures and organizational/operating systems as necessary.
  • Maintains follow-up on action required and positive communication with all management and staff.

Requirements

  • Minimum of seven years experience in an Administrative Assistant position with increasing responsibility.
  • Experience supporting multiple executives at a time.
  • Associate's degree in business or related area preferred.
  • Advanced skills in MS Word, Excel, PowerPoint, and Outlook.
  • Strong organizational skills.
