About the position

The Lead Ambulatory Service Representative at Texas Children's Hospital plays a crucial role in coordinating patient care activities and supporting the care team in both virtual and non-virtual settings. This position involves managing patient flow, overseeing the patient scheduling system, and serving as a liaison between patients, families, and healthcare providers. The representative ensures a smooth admission process and provides excellent customer service to enhance the patient experience.

Responsibilities

  • Conducts patient admission process, including check-in/welcome desk, PAR's, registration, and past pending.
  • Ensures patient is oriented to the virtual visit process and has all technology set up for successful completion.
  • Performs patient registration procedures per department process and ensures all necessary patient forms are provided and filled out for the clinic visit.
  • Communicates with patients, staff, and providers regarding patient arrivals, delays, and clinic processes.
  • Alerts staff and providers of any changes or discrepancies in patient's scheduled appointment.
  • Refers patients with no or inadequate funding to the financial counselor with zero reported complaints.
  • Changes status of all appointments daily to reflect arrived, cancelled, no-show, or rescheduled status.
  • Maintains an organized filing system of current referrals in progress and communicates all missed appointments to PCP.
  • Reviews provider schedule for open slots to appoint patients and contacts Central Scheduling with parents to schedule appointments.
  • Assists licensed staff with non-financial aspects of the inpatient admission process as needed.
  • Performs closing procedures in accordance with department processes, including reconciling fee receipts and completing deposit notification forms.
  • Provides insurance authorization and collection of cash and deposits for the hospital.
  • Coordinates schedules for the clinic and performs charge entry and reconciliation.
  • Provides appropriate customer service and communication to patients and families.
  • Provides basic office support including ordering and maintaining office supplies, managing correspondence, and filing documents.
  • Ensures efficient patient flow and room management.
  • Guides the work of Ambulatory Services Representatives and Senior Ambulatory Services Representatives.

Requirements

  • High School Diploma or GED required.
  • 3 years of experience in a healthcare setting, preferably with pediatric and supervisory experience.
