About the position

The Lead Billing Operations Coordinator at The Carroll Center for the Blind is responsible for overseeing and improving the billing processes and procedures for the organization. This part-time role involves liaising between finance and department leaders to ensure accurate billing for client services, managing accounts receivable, and processing deposits from donors. The ideal candidate will leverage their financial experience to enhance billing efficiency and support the mission of serving individuals with vision loss.

Responsibilities

  • Lead the billing operations for all Carroll Center client services including Education, Community, Computer Training, Low Vision, and Rehabilitation services.
  • Serve as a liaison between finance and department leaders to ensure mutual understanding of all billing related matters.
  • Follow up with department leaders when information is unclear/incomplete or to resolve questions as they arise.
  • Process client purchase orders (PO's) and generate invoices based on verified client services.
  • Assist with the preparation of monthly invoices and related documentation for various agencies and clients.
  • Maintain files for and track billings of individual client authorization orders from local, state, and federal agencies.
  • Access the Center's bank account daily to determine if payments have been electronically remitted and review aging accounts receivable.
  • Contact overdue accounts to determine reasons for non-payment and obtain necessary information for invoice processing.
  • Check internal mail daily for receivables payments and prepare bank deposits.
  • Process bank deposits through bank-provided computer scanner and software.

Requirements

  • 3+ years' experience in Accounts Receivable processing in a computerized environment.
  • Experience with monthly billing and managing a database.
  • Strong interpersonal, verbal/written, and organizational skills.
  • Proficient in Microsoft Office applications, particularly Excel and Word.
  • Ability to troubleshoot, be detail-oriented, and work independently.
  • Demonstrated ability to manage multiple activities simultaneously in a fast-paced environment.

Nice-to-haves

  • Working knowledge of MS Dynamics.
