The Lead Floating Office Clerk at Epiq plays a crucial role in supporting multiple accounts within the local market. The Lead Clerk assists the Supervisor or Manager in overseeing the workflow of Service Specialists, ensuring that all operations run smoothly and effectively. This role requires excellent communication skills to interact with both client staff and Epiq team members, addressing commitments, deadlines, and any challenges that may arise. The responsibilities of the Lead Clerk encompass a wide range of services, including Mail Services, where the individual will meter, sort, and distribute mail and accountable packages according to a set schedule. In Copy Services, the Lead Clerk will be responsible for producing accurate copies, prints, and scans based on written instructions. Reception duties involve answering incoming calls, routing them appropriately, and greeting visitors in a professional manner. Additionally, the Lead Clerk will manage Hospitality Services, which includes maintaining client conference rooms and common areas, ensuring they are clean, stocked, and ready for use. The role also includes Floor Coordination, which involves the upkeep of copy rooms, stocking supplies, and delivering paper. Facilities Services may require the Lead Clerk to perform minor tasks such as hanging pictures, assisting with small office moves, and communicating with key client contacts regarding any building or equipment concerns. Flexibility is essential, as the Lead Clerk will need to adjust their weekly schedule to cover for absences and vacations, which may involve working at different locations. Training responsibilities include onboarding and providing support to new FAST Service Specialists in the designated city.

Responsibilities

  • Assist the Supervisor or Manager in leading the workflow of Service Specialists.
  • Meter, sort, and distribute mail and accountable packages per schedule.
  • Produce accurate copy, print, and scan projects per written instructions.
  • Answer incoming telephone calls and route them to the appropriate person.
  • Greet and announce visitors in a friendly and professional manner.
  • Coordinate and maintain client conference rooms, common areas, and kitchens.
  • Inspect and ensure that all rooms are clean, stocked with supplies, and ready for use.
  • Organize and distribute client kitchen supplies and maintain inventory control.
  • Deliver paper and perform basic daily maintenance in copy rooms.
  • Assist with hanging pictures, small office moves, and cleaning services.
  • Communicate with key client contacts regarding building/equipment concerns.
  • Provide onboarding and training support to new FAST Service Specialists.

Requirements

  • High School Diploma or GED.
  • 1+ years' work experience in a customer services field.
  • Ability to multitask with attention to detail.
  • Ability to resolve issues with professionalism and tact.
  • Ability to lift or move 40 lbs. or greater.
  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to walk, bend, kneel, stand or sit for an extended period of time.
  • Flexibility to work all shifts, mostly between 8-5 and 9-6, with occasional shifts from 7-4 or 10-7.
