About the position

The Lead Medical Support Assistant (Public) at the US Veterans Health Administration is responsible for overseeing clerical processes within a healthcare setting, ensuring efficient scheduling and patient management. This role involves training new employees, monitoring clinic access, and maintaining compliance with VA policies and regulations. The incumbent will also provide exceptional customer service to veterans, manage patient information, and support the administrative functions of the clinic.

Responsibilities

• Provide educational sessions to train new employees in clerical processes.
• Monitor clinic's access to care and ICB usage.
• Assist with the clean-up of the Encounter Action Required Report (EARR) and delinquent recall report.
• Screen and receive phone calls, determining the nature of requests and providing information.
• Promote Veteran registration for My Healthy Vet (MHV).
• Schedule appointments accurately for Veterans seeking emergent/urgent care.
• Update patient demographics and ensure pre-registration is completed.
• Conduct ongoing audits to ensure quality of work for scheduling appointments.
• Identify education and training needs of staff and evaluate scheduling practices.
• Provide on-the-job training for new and current employees.

Requirements

• Must be a U.S. Citizen.
• Proficient in written and spoken English.
• Six months of experience in clerical, office, customer service, or administrative work.
• Knowledge of VA policies, regulations, and guidelines related to patient scheduling and care.
• Advanced understanding of medical terminology and administrative practices.

Nice-to-haves

• Experience with electronic health record systems such as VistA and CPRS.
• Familiarity with Microsoft Office programs including Word, Excel, and PowerPoint.
• Ability to gather, analyze, and report data related to clinic operations.
