About the position

The Lead Medical Support Assistant (LMSA) plays a crucial role in the Veterans Health Administration by providing administrative support, coordination, and technical assistance within the Outpatient Scheduling Services (OSS) Program. This position involves overseeing the scheduling and administrative functions to ensure effective patient care and service delivery, while also mentoring junior staff and managing various operational tasks.

Responsibilities

  • Greet and check in patients, assist with mobile check-in, and gather medical information as needed.
  • Monitor copying and faxing, answer and route incoming phone calls, and perform receptionist duties.
  • Manage medical charts, leave schedules, and clinic grids for Medical Support Assistants (MSA).
  • Follow VA Scheduling Directive and facility policies for scheduling expectations.
  • Prepare for clinic operations, monitor patient demographics, and manage appointment requests.
  • Conduct audits, studies, or surveys as requested and collect data for reporting purposes.
  • Serve as a mentor to Grade 3-6 MSAs, providing training and guidance on policies and procedures.

Requirements

  • U.S. Citizenship is required.
  • Proficiency in written and spoken English is mandatory.
  • Six months of experience in clerical, office, customer service, or administrative work is required, or one year above high school education, or a combination of both.
  • Knowledge of MSA practices and medical terminology is essential.

Nice-to-haves

  • Experience in a healthcare setting is preferred.
  • Familiarity with VA policies and procedures is advantageous.
