About the position

The Lead Office Administrator at Speak To Me Pediatric Therapy is a pivotal role responsible for overseeing daily operations within a pediatric clinic. This position focuses on ensuring smooth workflows, enhancing patient experiences, and leading a team of office staff and therapists. The ideal candidate will possess strong leadership skills, a passion for pediatric therapy, and the ability to foster a collaborative work environment.

Responsibilities

  • Oversee the daily operations of the clinic, ensuring smooth workflow and patient satisfaction.
  • Help manage office calendar for staff time off requests.
  • Foster a collaborative and positive work environment focused on continuous improvement and patient-centered care.
  • Drive clinic growth through patient retention and assist with community outreach.
  • Coordinate with intake coordinator & billing specialist.
  • Manage EMR system effectively.
  • Schedule/re-schedule patient appointments.
  • Manage phone calls and correspondence; answer, screen and direct inbound calls with professionalism.
  • Keep patient records updated with all relevant information.
  • Keep track of office supply stock and order as needed.
  • Assist colleagues whenever necessary.
  • Welcome clients immediately arriving to the office.
  • Assist with special projects and perform any additional responsibilities requested or assigned by the owner/office manager.

Requirements

  • Administrative experience in a medical setting preferred.
  • Detail oriented and organized with emphasis on accuracy and completeness of tasks.
  • Ability to lead others and become the go-to person for day-to-day operations.
  • Must be able to work independently with minimal supervision.
  • Must be able to prioritize and multi-task in a fast-paced environment.
  • Proficient with Microsoft Office programs and Google Drive functions.
  • Must have reliable transportation.
  • Must be able to pass a background check.
  • Strong verbal and written communication skills as well as ability to work in a team environment.
  • Exceptional customer service skills.

Nice-to-haves

  • Previous experience in pediatrics a plus but not required.
  • Bilingual English/Spanish is a plus.
