About the position

The Lead Payroll Specialist is responsible for managing payroll processes, ensuring accurate and timely payroll submissions, and maintaining payroll data within in-house systems. This role involves auditing timesheets, analyzing payroll-related issues, and providing solutions to both field and internal staff. The Lead Payroll Specialist also plays a key role in fostering positive relationships with employees and customers to enhance service quality.

Responsibilities

  • Triage requests from field staff and respond accordingly and timely.
  • Audit/review field staff timesheets submitted within in-house system against customer payroll systems, paper timesheets, etc. to ensure accurate pay and bill.
  • Update records of payroll transactions, such as employee withholding, direct deposits, etc. within in-house system per field staff's request or onboarding system.
  • Assist with preparing and submit weekly and/or daily pay runs prior to daily cut off time.
  • Accurately key payroll related data such as new hire information, timesheets, Sick Pay requests, etc.
  • Backup other payroll team members' duties as needed/requested.
  • Monitor multiple Outlook inboxes daily and respond timely.
  • Assist with entering garnishments (non-legal) and deductions in payroll system.
  • Establish and maintain a positive working relationship with in-office and field employees and external customers to promote a quality service image.
  • Perform additional duties as requested by management.

Requirements

  • High School Diploma required; Associates or Bachelor's degree in accounting or business preferred.
  • 3-5 years of payroll related experience required.
  • Experience in reconciliation with demonstrable successful results.
  • Proven track record of forming strong internal relationships.
  • Computer literate with knowledge of Microsoft Word, Excel (including VLOOKUP functionality), and Outlook.
  • Strong analytical and mathematical skills.
  • Excellent communication (written and verbal), organizational, and time management skills.
  • Good prioritization and multi-tasking skills in a fast-paced environment with minimum supervision.
  • High level of interpersonal skills to handle sensitive and confidential information.
