About the position

The Lead Wedding Coordinator at Amador Event Co is responsible for overseeing the planning and execution of weddings, ensuring that all aspects of the event run smoothly and according to the couple's vision. This part-time, contract position requires strong organizational and communication skills, as well as the ability to manage multiple tasks and solve problems on the spot. The role involves working closely with couples, vendors, and venue staff, and may require travel for events primarily in the Amador/Sacramento area.

Responsibilities

  • Follow Amador Event Co's detailed planning process.
  • Attend all meetings with vendors and the couple prior to the event date, either via Zoom, phone, or in-person.
  • Maintain a detailed timeline for the day's events, ensuring all activities run smoothly and on schedule.
  • Coordinate with the wedding party, vendors, and venue staff to ensure everyone is aware of the timeline and their respective roles.
  • Oversee the setup and arrangement of decorations, ensuring they align with the couple's vision.
  • Quickly identify and address any unexpected challenges or emergencies during the event, finding appropriate solutions.
  • Coordinate and communicate with vendors throughout the event.
  • Perform any other tasks or responsibilities as assigned by Amador Event Co.

Requirements

  • At least 2 years previous experience as a Lead Wedding or Event Coordinator/Planner or Venue Manager.
  • Strong organizational, people, and writing skills.
  • Problem-solving skills and the ability to think on your feet.
  • Ability to handle multiple tasks at once.
  • Professional and friendly demeanor with couples, vendors, and guests.
  • Strong attention to detail.
  • Ability to work well under pressure and in a fast-paced environment.
  • Exceptional interpersonal and communication skills.
  • Flexibility to work long hours, including evenings and weekends.
  • Proficiency in Excel, Word, and Google Drive.

Nice-to-haves

  • Knowledge of Aisle Planner is a plus.
  • Some college preferred.
