About the position

The Learning & Development Specialist I plays a crucial role in fostering the professional growth of the Immatics US team. This position is responsible for supporting onboarding processes and facilitating employee career development across the organization. The specialist will ensure that new hires have a seamless onboarding experience, which includes thorough planning, administration of the Learning Management System (LMS), and providing robust customer support. The role also involves attending events to ensure smooth delivery, offering facilitation support, and initiating follow-up activities for learners. The responsibilities are designed to uphold the company's commitment to excellence in learning and development. In terms of career development, the specialist will manage the onboarding process for new hires, ensuring that all required documentation is completed and stored in Workday. They will assist in facilitating new hire training and guide new employees through the necessary paperwork, while also communicating any changes to the HR team. The role includes coordinating offboarding processes, which involve technology collection, exit interview scheduling, and ensuring that all necessary paperwork is accurately distributed and stored. Additionally, the specialist will be responsible for verifying promotion letters and collecting new job descriptions for promoted employees, as well as administering bi-annual performance management processes. The LMS administration aspect of the role includes marketing available courses to employees, maintaining updated training records, and providing general LMS support. The specialist will generate reports and maintain all Learning & Development documents accurately, responding to employee inquiries in a timely manner. Training coordination is another key responsibility, which involves gathering feedback from trainers and trainees, managing in-house training facilities, scheduling trainings, and providing logistical support for training events. The specialist will also assist in mapping out annual training plans and conducting organization-wide training needs assessments to identify skills or knowledge gaps that need to be addressed.

Responsibilities

  • Ensure new hires are processed for onboarding including completion and storage of required documentation in Workday.
  • Assist in facilitation of new hire onboarding training.
  • Guide new hires through paperwork completion and communicate changes to the rest of the HR team.
  • Coordinate employee offboarding including technology collection, exit interview scheduling, ensuring necessary paperwork is distributed and stored accurately.
  • Complete promotion letter verifications and collection of new job descriptions for each newly promoted employee.
  • Administer bi-annual performance management including the confirmation that deadlines are met in accordance with the company policies.
  • Responsible for accurate and timely monthly HR Newsletter creation.
  • Prepare monthly Employee of the Month correspondence to line managers and employees and present final awards to all employees in person at monthly company meetings.
  • Market courses available to employees and provide necessary information about sessions and available courses.
  • Maintain updated LMS and training records.
  • Provide general LMS support and exceptional customer service to employees.
  • Generate reports and maintain all L&D documents accurately.
  • Respond to internal employees' inquiries in a timely and efficient manner and perform research as necessary to communicate accurate information back to the employees.
  • Gather feedback from trainers and trainees after each educational session to assess instructional effectiveness and determine the impact of training on employee skills and KPIs.
  • Manage and maintain in-house training facilities and equipment.
  • Schedule and assign all trainings, tracking registrations and pre-requisite completion.
  • Maintain quality training support materials and visual aids; oversees printing requirements and ensures appropriate number of materials are provided ahead of each training event.
  • Provide logistical support for every training event, including in-person and virtual delivery methods, setting up classrooms, ordering meals, and virtual meeting support.
  • Coordinate with external trainers/facilitators as needed.
  • Assist in mapping out annual training plans for organization.
  • Assist in conducting organization-wide training needs assessment and identifying skills or knowledge gaps that need to be addressed.

Requirements

  • Associate Degree in Learning & Development, Instructional Design, Human Resources, or related field.
  • 0-1 years of experience in Learning & Development field.
  • Proficiency in Microsoft Office.
  • Advanced organizational skills with the ability to handle multiple assignments.
  • Strong communication skills.
  • Hands-on experience coordinating multiple training events in a corporate setting.

Nice-to-haves

  • Bachelor's Degree in Learning & Development, Instructional Design, Human Resources, or related field.
  • Experience with Learning Management Systems.
  • Knowledge of L&D concepts, adult learning theory, or training facilitation.
  • Experience with eLearning content authoring tools.
