About the position

The position is responsible for administering the leave of absence and disability programs for all employees, ensuring compliance with applicable laws and policies. This includes overseeing the leave processes, managing communications with employees and HR partners, and coordinating with payroll for accurate payment during leaves. The role requires a strong focus on employee experience and confidentiality while also conducting audits and managing vendor relationships.

Responsibilities

  • Administer all US-based Leaves of Absence programs including STD, LTD, FMLA, Medical, State PFML, USERRA, and Personal leaves.
  • Assess, track, and monitor all Leave and Worker's Compensation claims, preparing necessary correspondence.
  • Conduct regular FMLA & Disability audits to ensure compliance and accuracy.
  • Oversee the vendor relationship with the FMLA administrator and Disability provider.
  • Administer other company time-off programs as assigned in accordance with internal policy and applicable laws.
  • Provide Payroll with biweekly reports to ensure accurate payment for employees on leave.
  • Calculate partial wage replacement between State PMFL and FIB's Short-Term Disability and communicate amounts owed to Payroll.
  • Maintain close contact with employees regarding leave statuses and expected return dates.
  • Meet regularly with HR Business Partners to review active claims and develop resolution strategies.
  • Coordinate and track benefit premiums owed for employees on LOA.

Requirements

  • Extensive knowledge of leave administration procedures and legal protections under FMLA and ADA.
  • Broad knowledge of federal, state, and local labor and regulatory requirements.
  • Strong verbal and written communication skills.
  • Excellent attention to detail and accuracy.
  • Strong time management skills.
  • Excellent analytical and problem-solving skills.
  • Associate's Degree in Human Resources, Organizational Development, Business Administration, or related discipline preferred.
  • 4-6 years of experience in Leave Administration or related Human Resources role required.

Nice-to-haves

  • Bachelor's Degree in a related field.
  • Experience with HRIS/Payroll systems.
