About the position

The Leave Coordinator is responsible for administering all aspects of the Leave of Absence (LOA) process in compliance with company policies and relevant regulations. This role involves managing various leave programs, providing support to employees and management, and ensuring accurate tracking and communication throughout the leave process.

Responsibilities

  • Administer and coordinate LOA programs including FMLA, ADA, Worker's Comp, short term and long term disability.
  • Manage all LOA cases for employees, providing customer service support regarding leave eligibility and inquiries.
  • Educate employees and managers on leave processes and procedures, ensuring understanding of state and federal regulations.
  • Determine eligibility for FMLA and other legally protected leave, escalating cases as necessary.
  • Provide positive and knowledgeable customer service to employees, management, and vendors.
  • Coordinate with vendors, payroll, benefits, and HR to manage the leave process effectively.
  • Track and follow up on timing issues around leaves of absence, including deadlines and expected return dates.
  • Facilitate calls with Legal and HR on complex leave issues.
  • Monitor and ensure completion of all administrative activities related to LOAs, including documentation and correspondence.
  • Coordinate with Healthcare and Payroll regarding Social Security Disability approvals and billing of insurance premiums.
  • Provide paycoding guidance for all leaves of absence and audit payroll data for accuracy.
  • Attend ongoing training to stay current on leave laws and recommend policy updates as needed.
  • Assist HR with complex leave issues and analyze ADA accommodation requests.

Requirements

  • High School Diploma or GED required; Associate's degree is a plus.
  • 1+ years of LOA experience or 2+ years in an HR Assistant/Specialist/Generalist or Benefits related role.
  • Strong analytical and decision-making skills.
  • Ability to work independently and manage a workload effectively.
  • Strong oral and written communication skills.
  • Ability to handle confidential information with discretion.
  • Proficient with Microsoft Access, Excel, and Word.
  • Thorough knowledge of federal and state laws pertaining to leave of absence.

Nice-to-haves

  • Demonstrated knowledge of HR benefit practices, policies, and procedures.
  • Understanding of HRIS.
