About the position

The Legal Administrative Assistant position at Kelly Services involves providing comprehensive administrative support to the Law Department of a leading manufacturer of building materials. The role focuses on managing documents, tracking actions and deadlines, and ensuring compliance with legal and auditing requirements. This contract position offers opportunities for advancement and is ideal for individuals with a strong background in legal administration.

Responsibilities

  • Assist with the gathering of information, materials, documents, reports, and evidence necessary for legal inquiries.
  • Provide proactive support to track actions, deadlines, and manage documents.
  • Handle incoming and outgoing correspondence via various methods including mail, fax, and email.
  • Process new vendor requests and update existing vendor records in the Coupa SIM onboarding tool.
  • Prepare check requisitions in accordance with accounting procedures and approvals.
  • Review electronic invoices from law firms for compliance with billing guidelines and maintain necessary records.
  • Respond to inquiries from law firms/vendors regarding invoice payment status.
  • Generate reports related to matter status, law firm timekeeper rates, and budget spending.
  • Manage filing in accordance with established record retention guidelines.
  • Prepare reports, presentations, and organize training sessions for the Law Department.
  • Ensure the Law Department presents a professional image through prompt responses and high-quality legal documents.
  • Offer recommendations and implement solutions to improve workflow efficiency.
  • Fulfill other administrative duties as assigned.

Requirements

  • High School diploma required; Associate Degree in paralegal studies, business, communications, legal studies, or related discipline preferred.
  • Minimum of 5 years of experience as an administrative assistant or in a related field within a Law Firm or Corporate Law environment.
  • Strong oral and written communication skills; ability to interact across diverse cultures.
  • Ability to plan, organize, and prioritize multiple tasks and projects to meet deadlines.
  • Significant understanding of general legal terminology and legal principles.
  • Attention to detail, accuracy, and strong organizational skills.
  • Ability to maintain confidentiality of sensitive communications and data.
  • Strong professional, technical, and analytical skills with a rapid learning aptitude.
  • Ability to work independently and proactively with minimal supervision.
  • Demonstrated ability to work efficiently under time constraints and prioritize workload.
  • Expertise in using contemporary office equipment and applications, including MS Office Suite and other relevant software.
