The Legal Administrative Assistant will assist attorneys in preparing, proofreading, and revising legal documents, ensuring that all materials are accurate and ready for court proceedings. This includes scheduling court appearances and depositions, as well as managing calendars and docketing to ensure that all deadlines are met. In addition to document preparation, the assistant will be responsible for e-filing documents in both Federal and Florida State Courts, which requires familiarity with the specific procedures and requirements of these jurisdictions. Time entry and client billing are also key components of the role, necessitating attention to detail and organizational skills to maintain accurate records. The assistant will also handle the maintenance of files and records, ensuring that all documentation is properly organized and accessible. Another important aspect of the position involves preparing and submitting Cash Disbursement Requests (CDRs) for processing vendor invoices in a timely manner, as well as monitoring the payment of these invoices. The assistant will also be responsible for conducting new business intake and conflicts checks, which are essential for maintaining compliance and ethical standards within the firm. Scheduling travel, appointments, and meetings for attorneys is also part of the role, along with processing expense statements promptly. The Legal Administrative Assistant will maintain attorneys' calendars and contact lists, providing backup coverage for other assistants when necessary.
