About the position

Our ideal candidate will have a minimum of 3+ years as a legal assistant with commercial real estate, construction, and development experience, including pre- and post-closing. The role requires excellent skills in organization, technology, professional communications, transcription, and client service. The Legal Administrative Assistant will assist attorneys and paraprofessionals with daily word processing projects and will be responsible for proofreading all documents produced, checking for appropriate formatting, spelling, and grammatical errors, as well as ensuring that all attachments, exhibits, and enclosures are intact. The position involves managing multiple deadline-sensitive projects and applying various procedural guidelines of differing jurisdictions as they pertain to commercial real estate, construction, and development transactions. The assistant will also assist with appointment scheduling, maintaining contact information, and facilitating written and verbal communication with both internal and external clients. Physical requirements for this position include frequent sitting and standing, with the sitting position being static for up to one-half hour at a time. The role may require lifting and carrying up to 20 pounds occasionally, bending and stooping occasionally, and managing a workload that includes various administrative tasks. This position is classified as non-exempt and reports to assigned attorneys and the Office Administrator.

Responsibilities

  • Writes, proofreads, sends, files, and manages correspondence, memos, pleadings, contracts, forms, indices, and other related documents.
  • Transcribes dictation.
  • Answers telephone and routine questions or routes calls to appropriate staff members.
  • Schedules/manages appointments and contact lists.
  • Receives, reads, and routes incoming mail.
  • Operates office equipment including fax machines, scanners, and photocopiers.
  • Utilizes working knowledge of computer software including Microsoft Word, Outlook, Excel, PowerPoint, and Adobe.
  • Interacts with clients as required.
  • Reviews and revises attorney bills as appropriate.
  • Attends training sessions and staff meetings.
  • Assists nearby secretaries with workload.

Requirements

  • Minimum of 3+ years as a legal assistant with commercial real estate, construction, and development experience.
  • Strong verbal, written, and interpersonal skills including a strong command of spelling, punctuation, and grammar.
  • Typing speed of a minimum of 65 wpm.
  • Minimum of high school diploma or GED required.
  • Legal administrative experience in commercial construction is required.
  • Excellent organizational skills.

Nice-to-haves

  • Experience with transcription.
