About the position

The Legal Administrative Assistant position at our nonprofit organization is a critical role that requires an experienced professional to provide comprehensive administrative support to Partner-level Attorneys and C-Suite Executives. The ideal candidate will have a strong background in legal administration, with over 3 years of experience in a similar capacity. This role involves a variety of tasks, including drafting and filing legal documents, processing and tracking expense reports, and assisting with contract agreements and various projects. The successful candidate will be expected to manage a high-volume administrative workload, ensuring that all tasks are completed efficiently and accurately. In this position, the Legal Administrative Assistant will handle essential administrative functions such as filing, invoice processing, expense tracking, supply ordering, and preparing routine correspondence and reports. Additionally, the role includes scheduling meetings, assisting with event setups, and preparing corporate filings, meeting agendas, minutes, and corporate resolutions. The assistant will also oversee the contract routing, execution, and maintenance process for the department, manage responses to subpoenas and other document requests, and assist in coordinating insurance renewals and requests for certificates of insurance. The Legal Administrative Assistant will support the Chief Compliance Officer/General Counsel (CCO/GC) by coordinating training sessions and preparing necessary training materials. This position may also involve contributing to special projects and other tasks as assigned by the CCO/GC, making it a dynamic and engaging role within the organization.

Responsibilities

  • Handle a high-volume administrative workload, including filing, invoice processing, expense tracking, supply ordering, preparing routine correspondence and reports, scheduling meetings, and assisting with event and meeting setups.
  • Prepare corporate filings, meeting agendas, minutes, and corporate resolutions.
  • Oversee the contract routing, execution, and maintenance process for the department.
  • Manage the receipt and response to subpoenas and other document requests.
  • Assist in coordinating insurance renewals and handling requests for certificates of insurance.
  • Support the Chief Compliance Officer/General Counsel (CCO/GC) in coordinating training sessions and preparing training materials.
  • Contribute to special projects and other tasks as assigned by the CCO/GC.

Requirements

  • Bachelor's degree or paralegal certificate required.
  • At least 3 years of experience providing administrative support to senior-level executives.
  • A minimum of 1 year of experience in a corporate legal or compliance department or law firm.
  • Extensive experience in managing an executive's busy calendar, prioritizing meetings, and ensuring all relevant documents are prepared and available.
