About the position

We are seeking a detail-oriented Legal Administrative Assistant/Paralegal to join our team at Brooks & DeRensis, P.C. in Natick, MA. The ideal candidate will provide essential support to our legal staff and ensure smooth day-to-day operations within the legal department. This role is crucial in maintaining the efficiency and effectiveness of our legal services, particularly in areas such as estate planning, probate, and real estate matters. The successful candidate will be responsible for a variety of tasks that require a high level of organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. In this position, you will be tasked with maintaining the confidentiality of all sensitive information, performing data entry tasks accurately and efficiently, and assisting in the preparation of legal documents. You will also be involved in document review, proofreading, and editing, as well as managing and organizing legal documents and case files. Additionally, you will assist in drafting correspondence and court filings, coordinate meetings and appointments for attorneys, and handle incoming and outgoing communications with clients and court personnel. Your support will extend to assisting attorneys in estate probate preparation and any related trial proceedings, ensuring that all legal processes are handled smoothly and professionally. Familiarity with Simplifile software is beneficial, though not required. You will also be responsible for administrative banking tasks, including bank deposits, and data entry related to time and billing/trust accounting software, such as Tabs3/TAS. Responsibilities

Requirements

  • Paralegal Certificate or Bachelor's degree in Legal Studies or related field preferred
  • Proven experience working as a Legal Administrative Assistant/Paralegal or in a similar role
  • Knowledge/ability to turn office into paperless system by way of scanning and saving documents into database (Worldox)
  • Proficiency in document management systems and software applications
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent written and verbal communication skills
  • Knowledge of probate law and legal terminology
  • Familiarity with project management principles in a legal setting
  • Ability to multitask, work under pressure, and meet deadlines consistently
  • Understanding of phone etiquette and professional communication standards

Nice-to-haves

  • Familiarity with Simplifile software
  • Knowledge of Tabs3/TAS (time and billing/trust accounting software)
