About the position

The Legal Administrative Assistant/Receptionist will be responsible for ensuring smooth office operations and providing essential support to the legal and title team. This role requires strong multitasking abilities, excellent customer service skills, and proficiency in legal administrative tasks.

Responsibilities

  • Greet clients and visitors with professionalism and courtesy.
  • Answer, screen, and direct incoming phone calls promptly.
  • Manage and organize files, correspondence, and other legal documents.
  • Assist with preparing and proofreading engagement letters.
  • Schedule appointments, meetings, and coordinate with clients.
  • Stock office supplies and ensure the workspace is presentable.
  • Perform data entry and manage records with confidentiality.
  • Assist with bill collection and billing entries.
  • Support title and closing processes with administrative tasks as needed.

Requirements

  • Previous experience as a legal assistant, receptionist, or in a related administrative role preferred.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks.
  • Ability to manage multiple tasks effectively and prioritize work.
  • A positive, professional attitude with a strong commitment to customer service.

Nice-to-haves

  • Familiarity with title company operations or legal documentation is a plus but not required.
