About the position

The Legal Administrative Assistant at Walkup, Melodia, Kelly & Schoenberger plays a crucial role in coordinating all firm events and serving as the primary point of contact for external marketing efforts and sponsorships. This position is essential in supporting the firm’s marketing initiatives and ensuring the smooth execution of various events. The firm, which consists of 22 lawyers, is of modest size and engages in a variety of activities, including public events that extend beyond the typical office environment. In terms of marketing responsibilities, the Legal Administrative Assistant will manage monthly reporting and database management related to new case retention and coordination with sources of case contacts. This reporting is vital for case intake analysis and provides guidance for marketing and advertising expenditures. The assistant will analyze monthly intake calls, track the number of inquiries, and monitor cases that are accepted, rejected, or pending determination. The role also encompasses management of all internal and external events, which includes professional development meetings, seminars, staff training, litigation focus groups, social events, holiday parties, charitable events, and political fundraising events. Key responsibilities include site selection, invitation and attendance management, food and beverage ordering, and budget planning. The assistant will coordinate publicity efforts, including website and advertising photo shoots, online and print media advertising, and the production of media copy for third-party events supported or sponsored by the firm. Additionally, the assistant will liaise with legal newspapers and journals for printed and digital announcements, advertisements, and reprints. They will work closely with a partner overseeing the publication of the firm’s biannual newsletter, “Focus on Torts,” which involves article editing, managing production contractors, and liaising with online marketing vendors for the digital version. Maintaining and updating a mailing list of approximately 25,000 contacts is also a key task. The assistant will serve as the firm’s liaison to the website coordinator and maintain promotional materials for events. They will coordinate the coverage and content of weekly Huddles and manage the logistics of firm-conducted Focus Groups. The position reports directly to the Managing Partner and is classified as non-exempt.

Requirements

  • Bachelor's degree in a relevant field.
  • 1-2 years of marketing, communications, media, or event planning experience.
  • 1-2 years of litigation experience.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to work effectively in a team and independently.
  • Advanced experience with Microsoft Word, Excel, and Adobe.
  • Organized with the ability to prioritize and manage multiple tasks.
  • Team-oriented with a willingness to assist on various projects.
  • Ability to lift, push, or pull 25 pounds.
