Alston & Bird is conducting a search for an experienced Legal Administrative Assistant to assist with supporting its growing presence in our Chicago office. The Legal Administrative Assistant will be part of a team supporting the firm attorneys in our Health Care Practice Group. The role involves performing a range of administrative tasks, such as typing and revising correspondence, memoranda, documents, timesheets, and project work; proofreading to ensure the quality of all documents; managing telephone and mail distribution; arranging travel; and maintaining file systems. The ideal candidate will be a strong team player, eager to learn and develop while making a meaningful contribution to the practice group.

Responsibilities

  • Assist attorneys in the Health Care Practice Group with administrative tasks.
  • Type and revise correspondence, memoranda, and legal documents.
  • Proofread documents to ensure quality and accuracy.
  • Manage telephone and mail distribution.
  • Arrange travel for attorneys and maintain travel itineraries.
  • Maintain organized file systems and client portals.
  • Process expense reimbursements and enter attorney time.
  • Answer telephones and sort mail.
  • Interact with clients and maintain client files.

Requirements

  • A minimum of 5+ years of prior experience in a law firm is highly desirable.
  • High school diploma is required; an associate or bachelor's degree is highly preferred.
  • Exceptional administrative and word processing skills.
  • Ability to organize and prioritize numerous tasks under time constraints.
  • Great attention to detail and the ability to concentrate and organize work.
  • Ability to work independently while handling complex situations.
  • Good communication and interpersonal skills.

Nice-to-haves

  • Experience with heavy administrative work in a legal environment.
  • Familiarity with MS Word, Outlook, and Excel.
