About the position

AppleOne has partnered with a law firm in Novato to source for an Administrative Assistant to join the Distribution department. The Distribution Team's function is to determine how to properly distribute client funds, and to efficiently process the documents necessary to effectuate the release of funds. This position will support the attorneys and paralegals on the team in whatever manner is necessary to accomplish that function. The role is essential in ensuring that client funds are handled appropriately and that all necessary documentation is processed in a timely manner. The Administrative Assistant will be responsible for conducting research and missing person's searches, processing client documents, and consistently updating the database and co-workers regarding document status. This position requires a high level of organization and attention to detail, as well as the ability to manage multiple tasks simultaneously in a fast-paced environment. The successful candidate will be expected to communicate effectively with clients and team members, ensuring that all communications are clear and concise. This is a remote position with onsite training, and candidates must reside within the Bay Area. Responsibilities

  • Conducts research and missing person's searches.

Requirements

  • Bachelor's degree preferred.
  • A minimum of one year office experience preferred.
  • Ability to multi-task, manage your own time/priorities and work independently.
  • Ability to calmly and effectively communicate with challenging client base, in person, in writing and on the phone.
  • Ability to concisely synthesize client communications to effectively update co-workers and database.
  • Ability to efficiently, accurately and consistently process a high volume of work in a high-pressure environment, while remaining focused.
  • Must appreciate and demonstrate a commitment to client confidentiality.
  • Accurate typing speed of 30-40 WPM, WordPerfect, Acrobat, Excel, Word and database experience.
