About the position

Tinti & Navins, P.C. is seeking a dedicated and detail-oriented Legal Administrative Assistant to join our team in Wellesley, MA. This full-time position is essential for providing comprehensive administrative support to our attorneys and clients, particularly in the areas of estate planning and estate administration. The ideal candidate will possess excellent organizational skills, a solid understanding of legal procedures, and the ability to handle sensitive information with discretion. As a Legal Administrative Assistant, you will be responsible for scheduling and coordinating client meetings, consultations, and follow-ups. Maintaining regular communication with clients is crucial to keep them informed about case progress and to address their inquiries effectively. You will also be tasked with organizing and maintaining both physical and electronic files related to estate planning and estate administration, ensuring that all documents are properly filed and easily accessible. In addition to these responsibilities, you will provide general administrative assistance, which includes managing calendars, handling phone calls, and preparing correspondence. Assisting with billing and timekeeping is also part of your role, as well as collaborating with other administrative staff to support overall office operations. You will assist in the administration of trusts, including the preparation and filing of necessary documents, and will be responsible for drafting, reviewing, and proofreading legal documents, ensuring that all documents are accurately prepared and filed in accordance with legal requirements.

Responsibilities

  • Schedule and coordinate client meetings, consultations, and follow-ups.
  • Maintain regular communication with clients to keep them informed about case progress and address their inquiries.
  • Organize and maintain physical and electronic files related to estate planning and estate administration.
  • Ensure all documents are properly filed and easily accessible.
  • Provide general administrative assistance, including managing calendars, handling phone calls, and preparing correspondence.
  • Assist with billing and timekeeping.
  • Collaborate with other administrative staff and support office operations.
  • Assist in the administration of trusts, including the preparation and filing of necessary documents.
  • Draft, review, and proofread legal documents, including estate planning documents and probate filings.
  • Ensure all documents are accurately prepared and filed in accordance with legal requirements.

Requirements

  • Minimum of 2 years of experience as a legal administrative assistant, preferably in estate planning or estate administration.
  • Familiarity with legal terminology and procedures related to estate law is highly desirable.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) preferred.
  • Attention to detail and accuracy in handling legal documents.
  • Ability to maintain confidentiality and exercise discretion.
