We are currently seeking an IP Legal Administrative Assistant for our Denver office. The successful candidate will play a crucial role in supporting our Intellectual Property (IP) department by managing various administrative tasks and ensuring the smooth operation of our legal processes. The IP Legal Administrative Assistant will be responsible for a range of core duties, including maintaining and updating files, coordinating vendor invoice processing, and assisting with the preparation and reporting of client letters and patent formalities. The role requires exceptional typing skills and the ability to draft and edit documents accurately and efficiently. The candidate must be adept at prioritizing tasks, meeting deadlines, and managing multiple projects simultaneously. Attention to detail is critical, particularly in areas such as calendaring, meeting coordination, and timesheet entries. In addition to these responsibilities, the assistant will assist with IP portfolio analysis and presentations, as well as the preparation and management of Information Disclosure Statements (IDS). Proficiency in various software programs, including iManage Records Manager, Intapp, Chrome River, and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), is essential. The position also requires a commitment to ongoing professional development, with an expectation to complete eight hours of continued technical education annually through the firm's training department. Other duties may be assigned as needed, making flexibility and adaptability key traits for success in this role.

Responsibilities

  • General knowledge of Intellectual Property
  • Exceptional typing skills; ability to draft and/or edit documents accurately and quickly
  • Effectively set priorities, meet deadlines, and manage multiple projects
  • Ability to pay attention to the minute details of a project or task (i.e., calendaring, meeting coordination, timesheet entries, grammar, and patent particulars)
  • Critical thinker who works efficiently, using available technology and strives to make tasks easier and more efficient
  • Coordination of Vendor Invoice Processing
  • Maintain and update files, including file openings and conflict checks in Intapp
  • Assist with IP portfolio analysis and presentations
  • Assist with preparation and reporting of client letters and patent formalities, as well as Information Disclosure Statement (IDS) preparation and management
  • Assist with Client Estimates and Accurals, as well as Invoicing
  • Proficient in iManage Records Manager, Intapp, Chrome River, iManage 10 Work 10 system, and Microsoft programs Word, Excel and Outlook
  • Annually complete eight (8) hours of continued technical education through the firm's training department, including, but not limited to, the IP Department specific training
  • Other duties as assigned

Requirements

  • 2+ years of law firm and legal administrative experience
  • Bachelor's degree preferred
  • Proficient in Microsoft programs (Word, Excel, PowerPoint, Outlook, Adobe)
  • Strong attention to detail
  • Strong organizational skills and ability to prioritize multiple projects
  • Excellent written and verbal communication skills
  • Strong interpersonal skills
