About the position

Ballard Spahr LLP has an excellent opportunity for an experienced legal administrative assistant with demonstrated litigation, technical, and administrative skills to work in the Minneapolis office. The selected individual will assume responsibility with minimal supervision, exercise initiative and judgment to make decisions within the scope of their assigned authority, and both champion and practice collaboration with all firm members and clients. The assistant will work collaboratively to anticipate and respond timely to the needs of the assigned LAA Team and its included fee earners and clients. Responsibilities include maintaining and processing case information to final disposition, creating electronic files, preparing and processing correspondence, memoranda, and complex legal documents. The assistant will also prepare documents for state and federal court filings, and e-file in various state and federal courts. Administrative duties will include maintaining attorney calendars and contact information, as well as new client intake. Qualified applicants will be highly motivated, possess strong communication, organizational, and client service skills, and be able to multi-task and work cooperatively in a team environment to meet all fee earner and client deadlines. Top-notch accuracy, spelling, grammar, and proofreading skills are necessary. A willingness to take innovative approaches to administrative support is a plus.

Responsibilities

Requirements

  • Minimum of 3 years of general litigation experience
  • High degree of proficiency with Microsoft Office, including Word, Excel, and Outlook
  • Strong communication, organizational, and client service skills
  • Ability to multi-task and work cooperatively in a team environment
  • Top-notch accuracy, spelling, grammar, and proofreading skills

Nice-to-haves

  • Experience with e-filing
  • Experience with document management and time and billing systems
  • Willingness to take innovative approaches to administrative support
