About the position

Currently seeking a dedicated Legal Administrative Assistant to join our team. The LAA will play a crucial role in supporting our legal professionals with litigation matters. This position offers the opportunity for growth and development within a dynamic legal environment. The ideal candidate will be responsible for a variety of administrative tasks that are essential to the smooth operation of our legal team. This includes scheduling client meetings, reserving conference rooms, and coordinating audio-visual equipment. The LAA will also coordinate all aspects of lawyers' travel arrangements, both domestic and international, preparing travel itineraries, monitoring and processing travel reimbursements in a timely manner, and maintaining the Outlook calendar while monitoring crucial due dates for lawyers as required. In addition to travel coordination, the LAA will organize, coordinate, and communicate pertinent information with other team members. This role requires monitoring lawyers' incoming emails as directed, answering phones, directing callers, and assisting visitors as needed. The LAA will also be responsible for typing, revising, and proofreading general correspondence, memos, legal documents, and reports in Excel from various sources. Drafting communication outlined by lawyers and ensuring the accuracy and clarity of all work products in a timely manner are also key responsibilities of this position. This role is hybrid, requiring three days in the office and two days remote, providing flexibility while maintaining essential in-person collaboration.

Responsibilities

  • Schedule client meetings, reserve conference rooms, and coordinate audio visual equipment.
  • Coordinate all aspects of lawyers' travel arrangements (domestic and international) and prepare travel itineraries.
  • Monitor and process travel reimbursements in a timely manner.
  • Maintain Outlook calendar and monitor crucial due dates for lawyers as required.
  • Organize, coordinate, and communicate pertinent information with other team members.
  • Monitor lawyers' incoming emails as directed and when required.
  • Answer phones and direct callers as required.
  • Receive, register, and assist visitors as required.
  • Type, revise and proofread general correspondence, memos, legal documents, reports in Excel, etc. from various sources.
  • Prepare draft communication outlined by lawyer as required.
  • Ensure accuracy and clarity of all work product in a timely manner.

Requirements

  • 3+ years of experience in litigation and/or commercial bankruptcy.
  • Familiarity with e-filing in State and Federal matters.
  • Strong organizational skills with the ability to handle multiple tasks simultaneously.
  • Proficiency in conducting research using various resources.
  • Knowledge of administrative tasks within a law office environment.
  • Ability to work effectively in a team-oriented setting.
  • Excellent communication skills and attention to detail.
  • High school diploma required; Bachelor Degree preferred.
