About the position

The Providence office of Robinson & Cole LLP, an AmLaw 200 firm, is seeking a full-time, highly skilled Legal Administrative Assistant to support our multi-state litigation practice. This position requires a strong understanding of both federal and state court systems, as well as the ability to e-file documents, download, and manage pleadings filed with the court. The Legal Administrative Assistant will be responsible for drafting correspondence and emails, maintaining calendars, and ensuring that important dates and deadlines for various matters are met. Collaboration with various internal departments is essential for opening, closing, and reactivating matters, generating inquiries and reports, tracking and entering time, preparing client bills, and responding to client billing inquiries. Additionally, the role involves completing submissions for expense reimbursements and check requests. The Legal Administrative Assistant will also manage and organize the attorney's practice, which includes calendar management, scheduling travel arrangements, preparing correspondence, assisting with reception services, and handling facilities requests. The position may also involve completing special projects as assigned. The ideal candidate will have a minimum of 5 years of legal administrative experience, particularly in litigation, and will be proficient in Microsoft Word, PowerPoint, and Excel, as well as iManage and Aderant. Familiarity with e-filing in Rhode Island, Massachusetts, New Hampshire, Vermont, Maine, and Connecticut federal and state courts is crucial. Advanced skills in document editing, legal billing, and time entry are also required. The ability to maintain composure and professionalism under competing deadlines and to function independently in a fast-paced environment is essential.

Responsibilities

  • Support multi-state litigation practice by managing legal documents and correspondence.
  • Familiarity with federal and state court systems and e-filing processes.
  • Download and manage pleadings filed with the court.
  • Draft correspondence and emails related to legal matters.
  • Calendar and maintain important dates and deadlines for various cases.

Requirements

  • Minimum of 5 years of legal administrative experience, with a focus on litigation.
  • Proficiency in Microsoft Word, PowerPoint, and Excel.
  • Experience with iManage and Aderant software.
  • Familiarity with e-filing in Rhode Island, Massachusetts, New Hampshire, Vermont, Maine, and Connecticut federal and state courts.
  • Advanced skills in document editing, legal billing, and time entry.
  • Ability to maintain composure and professionalism during competing deadlines.
  • Ability to function independently in a fast-paced environment.
  • Bachelor's degree and/or paralegal certificate is a plus.
