About the position

The Office of Administrative Hearings (OAH) is seeking a Legal Administrative Assistant to provide high-level legal and administrative support to judges and staff attorneys in our St. Paul office. OAH is the largest of three Executive Branch Courts in Minnesota, with over 70 full-time equivalents, and has exclusive jurisdiction over a wide range of administrative law and workers' compensation cases. This position plays a critical role in ensuring the efficient operation of the court by drafting, proofreading, editing, and finalizing complex legal documents, maintaining accurate data in case management systems, and providing legal support to judges, attorneys, and the public. The work is performed according to legal reference and OAH style manuals, as well as Minnesota Statutes and Rules. The ideal candidate will possess professionalism, attention to detail, and exceptional organizational and time management skills, as they will be required to communicate effectively with various stakeholders, including agency staff, outside attorneys, and the public. As a Legal Administrative Assistant, you will be responsible for ensuring the quality of legal documents, maintaining case files, and managing communications related to legal matters. This position is hybrid, requiring a minimum of four days in the office per pay period, and offers a unique opportunity to contribute to the justice system in Minnesota. Responsibilities

  • Draft, proofread, edit, and finalize complex legal documents for judges or staff attorneys.
  • Ensure the quality of legal documents for content, grammar, spelling, and proper citation format.
  • Maintain accurate and complete data in OAH case management systems.
  • Receive and direct calls and emails providing legal support to judges, attorneys, litigants, and the public.
  • Maintain a working knowledge of hearing requirements.

Requirements

  • One year of experience providing legal administrative support.
  • Customer service skills sufficient to engage respectfully with clients and resolve complex problems.
  • Ability to prepare, edit, and finalize legal documents and other written communications free of errors.
  • Data entry and database management skills to accurately input and verify electronic data.
  • Ability to use legal terminology to draft a variety of legal documents and maintain accurate case files.

Nice-to-haves

  • Completion of a legal secretary, legal administrative assistant, or related post-secondary training program or certification.
  • Two or more years as a legal secretary.
  • Experience in administrative law and with eFiling.
  • Experience creating ADA compliant and accessible documents.
  • Proficient in Microsoft Office products (Word, Excel, Teams).
