About the position

Ensz & Jester, P.C. is seeking a highly organized and experienced Legal Administrative Assistant to support attorneys and paralegals in a well-established law firm located in downtown Kansas City. The role involves a variety of administrative tasks, including legal transcription, managing service of process, assisting with litigation discovery, and electronic filing with courts. The ideal candidate will have a strong background in legal administration and proficiency in Microsoft Office, contributing to the firm's success through effective support and organization.

Responsibilities

  • Transcribe attorney dictations, phone calls, witness statements, and other recordings.
  • Anticipate the needs of paralegals and attorneys to facilitate their workflow and provide administrative support as required.
  • Perform general administrative duties, including managing calendars, coordinating meetings, setting up files, making copies, etc.
  • Enter billable time for attorneys.
  • Answer and manage incoming phone calls.
  • Manage, log, and make notifications of service of process.
  • Assist attorneys with discovery and other litigation support.
  • Electronically file documents with Courts and governmental entities.
  • Prepare and format legal documents using Microsoft Office, including Word, Excel, and PowerPoint.
  • Collaborate with team members to ensure a smooth workflow within the office.
  • Assist in maintaining an organized and efficient office environment.
  • Ensure the office space is prepared for meetings, depositions, arbitrations, and other events, including setting up/cleaning up necessary equipment, materials, and refreshments.
  • Monitor and manage office supplies/refreshments.
  • Other tasks and responsibilities as assigned by attorneys and senior staff.

Requirements

  • Mid-level administrative experience in a legal setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with legal transcription and litigation support procedures.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Critical thinking and problem-solving abilities.
