The Burlington in-house Legal team is expanding, and they are looking for a skilled Administrative Operations Analyst to join their ranks. In this pivotal role, you will serve as a key liaison between the Legal department and other essential departments such as IT, Finance, and HR. Your responsibilities will include acting as the primary contact for all administrative matters on behalf of the Legal team, which involves coordinating with various external entities, business associates, outside law firms, and courts. This position is hybrid, requiring you to be comfortable commuting to the office located in Burlington, New Jersey. To excel in this role, you will need to be a collaborative team player with a minimum of 3 years of experience in legal project management and operations, whether in-house or at a law firm. A strong background in developing, implementing, and utilizing technology solutions within a Legal department is essential. Additionally, prior experience in creating process guidelines and procedures for a Legal department is preferred. Outstanding administrative and organizational skills are a must, as you will be responsible for a variety of tasks that require attention to detail and efficiency. Your daily responsibilities will include assisting in the development and implementation of internal process guidelines and templates, optimizing workflows within the legal department, and providing administrative support to attorneys regarding travel requests, mail services, scheduling, and expense reports. You will also manage departmental budgets, including planning, tracking, and expense analysis, and oversee the relationship between vendors and the legal department, which includes onboarding new firms and vendors. Furthermore, you will be tasked with overseeing matter creation, billing, processing of expense accruals, and reporting, as well as managing technology related to the legal function, including the intranet portal site and document management and e-billing systems. Collaboration with your manager to identify, create, improve, drive, and implement Legal department processes and workflows will be crucial, with a focus on efficiency, scale, and automation, including the development and maintenance of self-help tools for the department.
