About the position

Under the supervision and direction of an attorney, the Legal Assistant, Paralegal performs a variety of paraprofessional, contracting, and administrative duties to support the attorneys in HPSJ's Legal Department. The Legal Assistant, Paralegal performs legal research, drafts correspondence to subpoenas and record requests, edits contracts, prepares legal documents and correspondences, works with in-house and outside counsel to provide litigation support, and tracks case-related deadlines. Additionally, this role provides other administrative support for the Legal Department such as preparing department reports, processing invoices, expense reports, taking meeting minutes, and scheduling meetings. The position is remote but requires residency in California. The Legal Assistant, Paralegal is responsible for performing project-specific legal research and preparing reports and memoranda. They assist in processes related to HPSJ being a public entity, such as analyzing Public Records Act requests and Government Tort Claims, and coordinating and drafting responses to such requests or claims. The role involves working with HPSJ business units to collect, compile, organize, and prepare documents for various matters. As directed, the Legal Assistant provides support with analyzing, reviewing, editing, drafting, and proofreading legal documents, including contracts and correspondence. They also provide litigation support by coordinating discovery, document tracking and production, redactions, and other administrative functions involving the review and processing of legal claims. The position requires the ability to maintain confidentiality consistent with ethical obligations, attorney-client privilege, and attorney work product protections. The Legal Assistant, Paralegal is expected to accomplish organization goals by accepting ownership for executing new and varied requests and contributing to the team effort by performing other tasks and administrative support as needed.

Responsibilities

  • Perform project-specific legal research and prepare reports and memoranda.
  • Assist in processes related to HPSJ being a public entity such as analyzing Public Records Act requests and Government Tort Claims, and coordinating and drafting responses to such requests or claims.
  • Work with HPSJ business units to collect, compile, organize, and prepare documents for a variety of matters.
  • Provide support with analyzing, reviewing, editing, drafting, and proofreading of legal documents, including contracts, correspondence, and responses to subpoenas and record requests.
  • Provide litigation support with coordinating discovery, document tracking and production, redactions, and any other administrative functions involving the review and processing of legal claims.
  • Interview staff and others in connection with investigations directed by attorneys.
  • Collect, organize, and summarize a wide variety of documents, information, materials, reports, and evidence.
  • Work within HPSJ contract management system to track legal reviews of contracts with vendors and providers.
  • Identify, research, compile, evaluate, track and summarize laws, regulations, cases, legal articles, All Plan Letters, and other relevant information.
  • Coordinate and prepare meetings with internal staff and external stakeholders, including agenda preparation, virtual or physical room setup, and taking meeting minutes.
  • Lead and/or assist with project management for Legal Department projects.
  • Assist in development or improvement of document templates, Legal Department workflows and operations, and policies and procedures.
  • Assist in the development of workflows, policies and procedures, and training related to Legal Department operations.
  • Maintain matters by triaging priorities, monitoring and updating status, tracking deadlines, maintaining logs, and preparing reports.
  • Proactively follow up on pending matters and exercise independent problem-solving techniques to resolve administrative issues.
  • Process Legal Department invoices and expense reports.
  • Maintain confidentiality consistent with ethical obligations, attorney-client privilege, and attorney work product protections.
  • Contribute to the team effort by performing other tasks and administrative support as needed.

Requirements

  • Paralegal certificate from an accredited program (Juris Doctor degree accepted).
  • Two (2) or more years of experience in a paralegal or legal assistant position.
  • Knowledge of legal writing, formatting, and use of correct legal forms or documents.
  • Knowledge and understanding of health care and privacy laws and regulations.
  • Strong analytical, research, organization, and problem-solving skills with attention to detail.
  • Strong interpersonal skills and professional demeanor.
  • Excellent oral and written communication skills.
  • Strong skills in drafting and editing documents.
  • Ability to consistently deliver highest quality work in a fast-paced environment under strict deadlines.
  • Ability to work independently or as part of a collaborative and supportive team environment.
  • Basic interviewing skills to obtain information from staff and witnesses.
  • Ability to perform legal research and writing using online legal research programs and printed materials to summarize information in a clear and concise manner.
  • Ability to logically and accurately read, understand, analyze, and interpret applicable laws, regulations, regulatory guidance, policies and procedures, and other legal documents.
  • Ability to gather, prepare, analyze, and organize all types of documents, materials, and evidence.
  • Ability to use contract management, document management, and billing systems.
  • Ability to work independently to organize work, set priorities, meet deadlines, follow up on assignments, and effectively reprioritize assignments as necessary.
