About the position

The Legal and Compliance Assistant plays a crucial role in supporting the Legal and Compliance Manager and General Counsel by performing a variety of essential tasks. This position involves coordinating, preparing, and submitting applications for all licenses and registrations required by the company. The assistant will also be responsible for managing the annual reports and renewals for these licenses and registrations, ensuring that all documentation is accurate and submitted in a timely manner. Additionally, the role includes preparing responses to subpoenas, which requires a keen attention to detail and a thorough understanding of legal processes. In this position, the assistant will prepare contracts and other legal documents using standard forms, which will then be reviewed and approved by the General Counsel. Research and analysis of legal sources, including statutes, judicial decisions, legal articles, and codes, are also key responsibilities. The assistant will perform clerical duties such as scheduling appointments, providing information to callers, and following up on contracts. Maintaining the companywide contracts database by filing correspondence and legal documents is another critical aspect of the role. The Legal and Compliance Assistant must also assist with client contract follow-ups for all contracts sent out by the Legal Department and support solo entries made by the department. A strong commitment to compliance is essential, particularly regarding HIPAA regulations related to Protected Health Information (PHI). The assistant must report any HIPAA violations to the Compliance Officer or Human Resources and complete all required HIPAA training offered by the company. Responsibilities

  • Assist with coordinating, preparing, and submitting applications for all licenses and registrations within the company.
  • Coordinate, prepare, and submit annual reports and renewals for all licenses and registrations.
  • Prepare responses to subpoenas within the company.
  • Prepare contracts and other legal documents from standard forms for review and approval by General Counsel.
  • Research and analyze law sources such as statutes, recorded judicial decisions, legal articles, and legal codes.
  • Perform clerical duties such as scheduling appointments and providing information to callers.
  • File correspondence and legal documents in the companywide contracts database.
  • Assist with client contract follow-up for all company contracts sent out by the Legal Department.
  • Assist with solo entries by the Legal Department.
  • Abide by all obligations under HIPAA related to Protected Health Information (PHI).
  • Report any HIPAA violations to the Compliance Officer and/or Human Resources.
  • Attend, complete, and demonstrate competency in all required HIPAA Training offered by the company.

Requirements

  • Bachelor's degree (B.A.) or one to two years of related experience and/or training; or equivalent combination of education and experience.
  • Healthcare compliance or paralegal certification.

Nice-to-haves

  • Additional legal research certifications and coursework.
  • Experience with business registration or healthcare licensure applications with State authorities.
