About the position

The Legal Assistant I position at Galt Staffing offers a unique opportunity to work as a temporary employee for a state agency in Oklahoma City. This role is primarily focused on providing records management and administrative support services in the capacity of a Legal Records Assistant. The successful candidate will be responsible for organizing and maintaining both electronic and paper master case files, ensuring that all files are complete, timely, properly organized, and easily accessible. Additionally, the position involves preparing closed files for permanent storage, which is crucial for maintaining the integrity of legal records. In this role, the Legal Assistant will manage the administrative appeals process and serve as a docket clerk. This includes screening appeal requests, assigning cases to Deputy General Counsels, and liaising with various stakeholders such as members, providers, witnesses, agency and outside counsel, and administrative law judges. The assistant will also maintain central appeals files and assist in managing the entire appeals process, which encompasses the receipt of appeals, docketing, and correspondence with appellants, opposing counsel, and administrative law judges. Moreover, the Legal Assistant will be tasked with preparing monthly appeals reports and other reports as requested by administrative law judges and Executive Staff. The position requires the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. The candidate must also be capable of writing reports, business correspondence, and procedure manuals, as well as effectively presenting information and responding to questions from groups of managers, clients, customers, and the public.

Responsibilities

Requirements

  • Bachelor's degree or four years of experience in a legal office working as a Legal Records Assistant or an equivalent combination of education and experience to at least four years.
  • Experience in appeals or other docket clerk roles.
  • Experience preparing legal documents.
  • Proficient with Microsoft Outlook, Word & Excel.
  • Records clerk/record management experience.
