About the position

The Legal Assistant 2 position at the Office of Cannabis Management involves providing comprehensive support to attorneys and Hearing Examiners in a variety of paralegal activities. The incumbent will work closely with investigators, Office of General Counsel (OGC) attorneys, respondents, court reporters, and other administrative staff. This role is crucial in managing complex cases, many of which may lack precedent, requiring a high level of legal knowledge and procedural understanding. The Legal Assistant will be responsible for scheduling hearings, maintaining databases, compiling and organizing hearing files, and preparing legal documents. In addition to these tasks, the Legal Assistant will assist in the preparation of cases for hearings, which includes drafting responses, motions, and affidavits, as well as organizing case files and maintaining exhibits. The incumbent will also be expected to appear at Administrative Law Judge (ALJ) hearings to assist in presenting cases, ensuring that all relevant materials are prepared and available. Conducting complex legal research and analyzing materials to provide both verbal and written comments on findings will also be part of the job responsibilities. The position requires a proactive approach to managing case files and calendars, recording and monitoring the status of dockets, deadlines, and final decisions. The Legal Assistant will also assist the General Counsel with confidential legal matters and perform other duties as assigned. This role is essential for ensuring the efficiency and effectiveness of the legal processes within the Office of Cannabis Management.

Responsibilities

  • Prepare correspondence and all relevant case materials for hearings.
  • Assist in the preparation of cases for hearings by completing a variety of activities.
  • Appear with OGC at ALJ hearings to assist presenting cases during hearings.
  • Draft responses, motions, answers, affidavits, or discovery demands.
  • Organize case files and maintain exhibits for hearings.
  • Organize, draft, and prepare motions for court proceedings.
  • Assist in the review of similar work conducted by Legal Assistant 1s for OGC to ensure completeness, accuracy, and timeliness.
  • Prepare subpoenas and arrange for service.
  • Arrange for the filing of legal memorandum and other legal papers.
  • Assist with resources and supportive material for attorneys for hearings.
  • Conduct research into complex legal matters and present both verbal and written comments on findings.
  • Prepare and maintain case files and calendars, record and monitor the status of dockets, deadlines, and final decisions.
  • Prepare final documents for file closing.
  • Assist the General Counsel in connection with confidential legal matters.
  • Perform other duties as assigned by the General Counsel and First Deputy General Counsel.

Requirements

  • Three years of full-time experience as a Paralegal/Legal Assistant.
  • An associate degree in paralegal/legal assistant/legal studies program or a certificate in a paralegal/legal assistant program with one year of experience as a Paralegal/Legal Assistant.
  • An associate degree in any field with two years of experience as a Paralegal/Legal Assistant.
  • Graduation from an accredited law school with a degree required for NYS Bar and two years of full-time experience as a Paralegal/Legal Assistant.
