The Legal Assistant's primary duties include preparing legal and administrative correspondence and documents, maintaining legal files, managing the calendar of the assigned attorney(s), and communicating with clients, opposing counsel, courts, agencies, and the general public. This role may also involve taking on special projects from attorney(s). Key responsibilities include opening and closing cases, preparing and sending legal correspondence, formatting and proofreading work products, making travel arrangements for attorneys, managing incoming communications, ordering investigation reports and medical records, transcribing dictation, maintaining attorney calendars, organizing files, preparing and filing complaints, scheduling court appearances, and assisting with trial preparation. The ideal candidate will have a strong familiarity with Code of Civil Procedure rules, knowledge of court filing requirements, and exceptional communication and project management skills.

Responsibilities

  • Opening and closing cases, including obtaining signed contracts and authorizations from clients.
  • Preparing and sending legal and administrative correspondence, including communications with clients.
  • Formatting, finalizing, and proofreading all work products from attorneys sent via dictation, hard copy, or email.
  • Making travel arrangements for attorneys as needed.
  • Managing incoming phone calls, voicemails, and emails.
  • Receiving and managing incoming mail and service documents, handling or routing appropriately.
  • Ordering and saving investigation reports and/or medical records for cases.
  • Transcribing all dictation in a timely manner.
  • Maintaining attorney's calendar for all SOL's, reminders, tentative rulings, appointments, and depositions.
  • Creating, maintaining, and organizing hard and electronic files.
  • Preparing and filing all Complaints at the appropriate court, serving on all defendants, and filing POS.
  • Saving and forwarding discovery to attorneys, assigned paralegals, and clients upon receipt.
  • Scheduling CourtCall, Zoom, or in-person appearances for cases.
  • Coordinating and confirming deposition dates, arranging CSR, and if needed, videographer or interpreter.
  • Contacting courts to obtain motion hearing dates and verify local rules or special requirements.
  • Typing, gathering supporting documents, organizing, and executing filing of all motions and oppositions as instructed by attorneys.
  • Drafting, preparing, and filing all pleadings at the proper court in a timely manner.
  • Assisting with trial preparation, including preparation of trial binders, exhibits, and scheduling experts.

Requirements

  • Must have 3-5+ years of litigation experience, with plaintiff experience in personal injury and medical malpractice being a plus.
  • Strong familiarity with Code of Civil Procedure rules and requirements.
  • Knowledge of court filing requirements, including experience with e-filing in state and federal court.
  • Strong software skills, particularly with MS Office Suite and calendaring applications.
  • Exceptional communication skills and attention to detail.
  • Strong project and task management skills.
  • Ability to manage multiple high-volume priorities in a fast-paced environment.
  • Ability to work with diverse personalities within various levels of the organization.
  • Well-developed interpersonal and client relation skills.

Nice-to-haves
